Job summary

Gale (YC W25) in Vancouver is building an operations function to streamline immigration workflows for U.S. talent. You’ll own cases end-to-end on top of our platform, coordinating with network attorneys and HR teams to move applicants quickly while maintaining high standards.

We’re an early-stage, VC-backed company, offering hybrid work with one in-person day weekly, extended health and dental, a home office setup budget, and a clear path to ownership as we scale.

Qualifications

Job description

We are a VC-backed immigration platform transforming how U.S. companies hire international talent fast. By combining advanced automation with expert legal counsel, we replace opaque, paper-heavy processes with a transparent, tech-enabled experience.

We've already helped 100+ high-growth startups and enterprises navigate the immigration landscape. We're backed by Y Combinator, have raised $2.7M from leading VCs, and have a strong presence in Silicon Valley. Now, we're building out our operations team in Vancouver.

Our goal is simple: let software handle the paperwork so attorneys can focus on law, and immigrants can focus on their future.

Role overview

You are the person who makes a case actually happen. You own it from kickoff to decision — pulling documents, keeping the applicant moving, routing legal questions to the right network attorney, and keeping the client's HR team informed before they have to ask.

You'll be running high volume on top of our proprietary platform, and you'll have real say in how both the process and the product get built.

What you'll do
  • Own cases end to end. Run the full lifecycle for O-1A, EB-1A, H-1B, TN, J-1, and EB-2/EB-3 PERM matters — kickoff, document collection, evidence assembly, filing logistics, receipt and approval tracking, RFE coordination.
  • Coordinate with network attorneys. Package matters cleanly for attorney review, chase down what's missing before it becomes a bottleneck, and manage turnaround so nothing sits.
  • Be the client's main point of contact. Talk to talent acquisition and HR teams and to the foreign nationals themselves. Set expectations clearly, flag risks early, and make a stressful process feel handled.
  • Keep the system honest. Track deadlines, status changes, and filing windows with zero tolerance for slippage. Cap season is not the time to discover a gap.
  • Run everything on our platform. Our proprietary software is where the work happens — automated intake, document parsing, form generation, status tracking. You'll live in it daily, push it to its limits, and be one of the primary voices shaping what we build next.
  • Improve the machine. You'll see every rough edge in our workflow before anyone else does. We expect you to tell us — and to help fix it.
Requirements
  • U.S. immigration experience, at volume: 2–5 years running U.S. business immigration cases (H-1B, TN, O-1A, PERM). This one is non-negotiable — we need someone who has already lived through a cap season and knows where cases go to die.
  • The high-volume background: You've done this somewhere built for scale — Fragomen, Berry Appleman & Leiden, Envoy, Erickson Immigration Group, Seyfarth Shaw, or similar. You know what it takes to carry dozens of active matters at once without dropping one, and you're ready to do it without the legacy tech that slowed you down.
  • Technology-forward: You reach for tooling by instinct. You've automated something that used to be manual, you're comfortable being an early user of software that's still being built, and you'd rather help fix a workflow than file a ticket and wait. Our proprietary platform is central to this role — enthusiasm for it is a requirement, not a bonus.
  • High ownership: You take a case, a client, or a problem and it's yours until it's done. No handoffs into the void, no waiting to be told, no "that's not my scope." When something breaks at 6pm before a filing deadline, you're the person who notices and handles it.
  • Communication: Excellent written English. You'll be writing to CTOs, HR directors, and anxious applicants in the same hour, and each needs a different register.
  • Organization: Exceptionally detail-oriented. Deadline-driven work is the whole job, and USCIS does not grant extensions for oversights.
  • Location: Based in Vancouver, BC. Day to day is work-from-home, with one in-person day per week with the team.
  • Work authorization: Legally authorized to work in Canada. We are not sponsoring for this role.
  • Comfort with ambiguity: Early-stage company, evolving process. You'll be writing the playbook, not inheriting one.
What you can expect
  • Compensation: CAD $70,000–$95,000 depending on experience
  • Hybrid by default: Work from home most of the week. One standing in-person day in Vancouver to align, unblock, and actually talk through hard cases.
