Role: Human Resources Coordinator – responsible for supporting the people strategy specifically with recruitment and onboarding in our Canada, USA and India locations. Full cycle recruitment – from writing attractive job posts, timely screening of candidates, transitioning to interviews and closing to ensure a positive applicant and employee experience and timely fill of the right people aligned with our values.

What you will do in the role
  • Recruitment and Staffing Logistics – 3 weeks fill rate
  • Evaluate continuously and improve the recruitment process for selection, assessment and follow up
  • Prepare and post job postings; screen resumes for candidacy to present
  • Conduct initial interviews and recommend candidates for next-stage consideration
  • Coordinate skills testing, assessments, and interviews
  • Support hiring documentation and employment procedures
  • Track recruitment activity and time-to-fill targets (3 weeks)
  • Build relations, apply for and track applicable grants, wage subsidies, and apprenticeship programs
  • Maintain and refresh job postings to improve candidate traction
  • Manage agency placement and processes including invoicing and conversions
  • Creating recruitment strategies to identify and assist with planning for hiring needs
  • Sourcing and attracting suitable candidates to create candidate pool
  • Collaborating with Hiring Manager(s) for dynamic needs
  • Monthly HR Metrics & Reporting
  • Prepare and distribute monthly HR KPI reports for leadership
  • Track and report recruitment metrics including time-to-fill, source effectiveness, candidate pipeline activity, and vacancy status
  • Track onboarding and retention metrics including new hire completions, probationary reviews, 90-day stay rate, and turnover
  • Employee Onboarding and Offboarding
  • Process all new hire paperwork and exiting documents for payroll
  • Follow up with Managers for completed orientation and training checklists
  • Follow up with Supervisors for site orientation and job training
  • Probationary review follow-ups and extensions as needed
  • Timely execution of all offboarding tasks
  • Employment changes
  • Support with letters and administering changes
  • Workers visa updates and/or terminations
  • Process Payroll Action Notices for all Employment Changes
  • Employee Wellness and HR Admin
  • Implement and Maintain Wellness and Rewards Programs
  • Wellness Awareness and Postings
  • Employee requests: Employment confirmation
  • DNI Activities
  • Leaves & Absences (backup)
  • Coordinate and administer employee leaves of absences
  • Track leave documentation and maintain accurate records
  • Support return-to-work coordination and follow-up
  • Track and record keep temporary employee absences, employee bereavement or special leaves
  • HR Admin (backup)
  • Office, Kitchen, Janitorial, First Aid equipment coordination and supplies
  • Reception and Facilities assignment
  • Prepare meeting rooms for internal and external meetings, including setup, cleanliness checks, refreshments, and presentation readiness
  • Manage vehicle licensing and renewals
  • Phones, Lockers, access cards and managing visitor sign-in
  • Coordinate Employee gift baskets as needed
  • HR Projects and other work as assigned
  • Able to lift up to 15lbs; may work in hot areas 5%, noise 0%
  • Ensure adherence to Health and Safety as well as active participation in 5S activities in work area
Measure of Success / KPI Metrics
  • Recruitment & Staffing
  • Average time-to-fill of 3 weeks or less for approved vacancies
  • Active candidate pipelines maintained for recurring positions
  • Positive hiring manager and candidate experience throughout the recruitment process
  • Onboarding & Employee Administration
  • 100% completion and tracking of onboarding, orientation, probationary reviews, and offboarding activities
  • Employee records maintained accurately and in a timely manner
  • HR Metrics & Reporting
  • Monthly HR KPI report delivered by the 5th business day of each month
  • Recruitment, turnover, vacancy, onboarding, and retention metrics maintained accurately
  • Compliance & Employee Support
  • Timely administration of employment changes, leave documentation, and employee requests
  • Compliance with applicable employment legislation, company policies, and record-keeping requirements
What you bring to the role
  • At least 2 years of Human Resources experience
  • Experience recruiting for manufacturing preferred
  • Familiarity and applied knowledge of Employment Standards
  • Demonstrated experience in reports, intermediate MS Office Skills
  • Exceptional organizational, communication and interpersonal skills
  • Knowledge of onboarding and talent acquisition
  • Privacy and sensitivity of information will require discretion, an excellent command of verbal and written skills and attention to detail
  • Clear Background Checks - Credit and Criminal
  • Eligible to work in Canada

This position is located at 6635 Ordan Drive in Mississauga, ON. Hours are typically 8:00am to 4:30pm.

Pay: $56,000.00
