Human Resources Assistant

Position Summary

We are seeking a highly motivated and proactive Human Resources Assistant to join our Human Resources team. The Human Resources Assistant will be based in Montreal but will be a key member of the U.S. Human Resources team and provide support to the U.S. Head of Human Resources and members of the U.S. Human Resources team.

The ideal candidate will have strong problem‑solving skills, excellent communication and interpersonal skills, and the ability to juggle multiple projects at the same time. The ideal candidate must also demonstrate discretion and uphold confidentiality at all times. This opportunity would be an excellent advancement for someone with some experience in Human Resources looking to further develop their career in the field.

Essential Duties and Responsibilities
  • Draft and edit employment verification letters
  • Design, write, and send the US HR Newsletter
  • Manage overtime spreadsheet and create overtime reports
  • Track 90‑day evaluations & evaluation status for administrative team
  • Maintain personnel files and HRIS systems
  • Update US Forum on Maestro (intranet)
  • Manage Consultant Candidate Tracker / Process
  • Subpoena support
  • Visa support
  • Harassment Training tracking
  • Support for DEI initiatives: Human Rights Campaign (HRC) and Management Leadership for Tomorrow (MLT)
  • Turnover analysis
  • Background Checks
  • HR / Benefits Invoice Reconciliation
  • Manage Leave of Absence Requests
  • Assist with the updating of the US Handbook
  • Assist with coordinating initiatives for the US Wellness Program
Minimum Qualifications
  • Bachelor’s degree required
  • Minimum of 3 years of experience as an HR Generalist, demonstrating proficiency in various HR functions including recruitment, employee relations, payroll, benefits, and / or compliance.
  • Discreet handling of highly sensitive and confidential information
  • Self‑starter mentality and ability to work well independently, as well as with a team
  • Ability to operate effectively in a fast‑paced environment
  • Exceptional attention to detail
  • Excellent verbal and written communication ability
  • Comfort working in highly confidential, fast‑paced, high volume, high touch, high impact situations.
  • Flexibility and ability to respond to and address ad‑hoc requests that don’t necessarily follow structure.
  • Forward‑thinking, structured, and process‑oriented thinker
  • Basic proficiency with MS Office Suite
