Capital One Canada is seeking an HR Operations Specialist to be the first point of contact for Associates, handling day-to-day HR Operations, Immigration and Global Mobility. You will work with immigration vendors, HR partners, Payroll, the business units to resolve inquiries and ensure compliance.

You will administer programs, improve processes, maintain data accuracy in HR systems such as Workday, and report trends and risks. A 2+ year background in immigration and mobility is required.

Qualifications

• Minimum 2 years of experience managing HR programs with a focus on Immigration and Global Mobility.
• Experience delivering HR Operations services to all stakeholder levels (Associates, People Leaders, Senior Management).
• Familiarity with multi-entity organizations and regulatory compliance.

Responsabilités

• Provide guidance on immigration requirements, work authorization, and Global Mobility procedures.
• Administer Canada’s Immigration and Global Mobility programs and manage invoice reconciliation.
• Ensure compliance with federal and provincial laws and Capital One policies; audit permits and documentation for eligibility to work.
• Collaborate with HRBPs, Associate Relations, Legal, and Immigration Consultants on regulatory issues.
• Develop and implement process improvements for HR Operations, Immigration, and Global Mobility; stay current on legislation.
• Manage escalations and respond to associate inquiries; support international transfers and mobility from a compliance perspective.
• Ensure data accuracy across HR systems (e.g., Workday) and produce reporting for MBR.

About the Role

As an HR Operations Specialist, you will be the first point of contact for our Associates. You will manage day-to-day HR Operations, Immigration and Global Mobility processes and continuous improvement initiatives. This role will partner closely with immigration vendors, HR partners , Payroll, the business and enterprise partners to work through and find constructive resolution to employee immigration and mobility inquiries and escalations.

Key Responsibilities:

• Providing guidance and consultation to associates, People Leaders, and HR partners on immigration requirements, work authorization, and Capital One's Global Mobility procedures

• Administering Canada’s Immigration and Global Mobility programs, which includes communicating program details and managing invoice reconciliation

• Ensuring compliance with provincial and federal laws and Capital One policies, including auditing temporary work permits and related documentation to confirm ongoing associate eligibility to work

• Partnering with internal and external stakeholders (e.g., HRBPs, Associate Relations, Legal, Immigration Consultants) on regulatory and employment liability issues as they relate to complex cases

• Proposing, developing, and implementing continuous improvements to processes and documentation for the HR Operations, Immigration, and Global Mobility portfolio, staying current on legislation to develop and maintain company policies. This includes resolving root causes of problems.

• Managing escalations and responding to associate inquiries in a timely manner. Supporting international associate movement (i.e., Global Transfers, Long Term Assignments, iMove) from a compliance and policy perspective

• Ensuring data accuracy across HR systems (e.g., Workday) and produce reporting on trends, risks, and compliance metrics for Monthly Business Review (MBR)

• Supporting special projects as required

Basic Qualifications

• A minimum of 2 years of experience managing HR programs, with a primary focus on Immigration and Global Mobility

• Experience providing HR Operations services to all levels of stakeholders (Associates, People Leaders, and Senior Management)

Preferred Qualifications

• Degree or diploma in Human Resources management or a related field

• Human Resource designation or working towards (CHRP, CHRL)

• Familiarity with supporting a multi-entity organization and ensuring compliance with federal and provincial regulatory requirements

• Strong written and verbal communication skills for effective consultation across diverse audiences

• Proficiency with Google Suite (Sheets, Slides, Forms), HRIS and case management systems (i.e. Workday and Salesforce)

• Experience working with third party vendors

The expected annual salary range for this position is $76,500 to $87,400. This role is also eligible to earn performance-based incentive compensation, which may include cash bonus(es). Incentives could be discretionary or non-discretionary depending on the plan.
