Job Description

The Junior HR Assistant provides administrative support to the Human Resources department. This entry-level position focuses on data entry, employee record maintenance, benefits administration support, and preparation of HR documents. The role is ideal for a candidate to begin a career in Human Resources and to develop HR administrative skills while supporting daily HR operations.

Responsibilities
  • HR Administration & Data Entry
    • Enter and update employee data in various HR systems (ShotGrid, ADP, HiBOB)
    • Maintain accurate and up-to-date employee records
    • Verify data accuracy and report inconsistencies when identified
    • Assist with routine HR administrative tasks and filing
  • Benefits & Employee Support
    • Support regular updates to employee benefits plans
    • Maintain benefits documentation and records
    • Answer basic employee questions related to benefits and HR administrative processes
    • Redirect complex inquiries to the appropriate HR team member
  • Tax Credit & HR Forms
    • Assist in the preparation and transmission of tax credit forms
    • Support responses to employee questions related to tax documentation
    • Ensure proper filing and tracking of HR forms
  • HR Documentation
    • Prepare HR letters, employment confirmations, and official correspondence
    • Assist with employment contract extensions, amendments, and other HR documents
    • Ensure documents are properly completed, stored, and archived
  • Policies & Procedures Support
    • Assist in formatting, updating, and correcting HR policies and procedures
    • Support the preparation of HR forms and templates
    • Help prepare HR forms and templates used across the organization
Qualifications
  • Diploma or degree (or in progress) in Human Resources, Business Administration, or related field
  • Previous experience in an HR administrative or assistant role is an asset
  • Strong attention to detail and high level of accuracy
  • Proficiency with HR systems and Microsoft Office (especially Excel and Word)
  • Ability to handle confidential information responsibly
  • Good written and verbal communication skills
  • Willingness to learn and take directions
  • Bilingual (French and English)*
