A regional healthcare provider in Ontario is seeking a Health Records Clerk for a permanent part-time position. Responsibilities include maintaining patient charts, processing admissions and discharges, and general clerical support. The ideal candidate will have a secondary school diploma and proficiency in relevant software. This position offers a starting wage of $25.01 per hour and enrollment in the Healthcare of Ontario Pension Plan (HOOPP).

Responsibilities

  • Analyze records, identify deficiencies, and issue ICR deficiency to physicians.
  • Perform department reception duties and respond to requests.

Health Records Clerk – Permanent Part-Time

Location: Little Current andMindemoya, Ontario

Salary range: $25.01 – $27.81 per hour (based on education and experience)

Position Summary

The Health Records Clerk is responsible for clerical duties including all aspects of patient chart maintenance.

Responsibilities
Processing Admissions & Discharges
  • Locate and deliver patient charts to inpatient unit as per daily admission register
  • Process Inpatient Discharges, including assembly of records, scanning records to eChart/EMR, analyzing records for completeness, issuing Incomplete Record (ICR) deficiencies to physicians and abstracting the data into Med2020 WinRecs.
Processing Outpatient Records
  • Analyze records, identify deficiencies and issue ICR deficiency to physicians
  • Scan records to eChart/EMR
  • Finalize ICR process once physicians complete deficiencies
Other Departmental Duties
  • Perform Meditech Expanse chart maintenance as required
  • Assist in the preparation of records for Death Chart Review
  • Assist with month-end statistics
  • Assist with monthly CIHI and mandatory quarterly Ministry of Health submissions
  • Attend monthly ONE team meetings (as applicable)
  • Sort, compile, index and file health records
Day Surgery / Specialist Clinics
  • Locate and deliver charts for Day Surgery and Specialists Clinics
  • Scan records to eChart/EMR
Reception
  • Perform department reception duties
  • Respond to clinician requests
  • Respond to internal and external general requests
Record Retention
  • Review, record and prepare appropriate charts for destruction
Admitting
  • Assist with switchboard, reception, patient registration and other admitting duties as required, to cover breaks and/or backfill shifts as required.
