Job summary

Hydro One is seeking a receptionist to provide front-desk support at a Barrie location. You will manage visitor access, process mail, coordinate deliveries, and liaise with security.

Responsibilities

  • Provide reception service and assist employees/occupants in administration, reception, and management of access to assigned locations.
  • Create and apply for building access for new employees and update required databases.
  • Maintain daily Visitors log and long-range calendar of visitors, contractors, and tour requests; check IDs, issue/retrieve access cards.
  • Coordinate with Hydro One security and third-party agents; verify identity and purpose of visits; brief staff about visits or deliveries.
  • Receive, open, sort, and distribute mail; arrange for shipments; handle rush deliveries; perform mail redirects as needed.
  • Sponsor delivery agents as required.
  • Operate general office equipment and perform minor maintenance.
  • Use PA system and fire alarms as directed by Shift Control Engineer; silence alarms when instructed.
  • Order and track office supplies; distribute and store supplies.
  • Create vendor tickets for items; contact vendors for resolutions.
  • Perform other duties as required.

Job Description
  • Provide reception service and assist employees / occupants in the administration, reception, and management of access to assigned locations. This would include visitors or tours and contractors, parking direction and departure at the centre, special arrangements for those with disabilities; receive and direct visitors to the appropriate on-site sponsor; coordinate arrival and departure of visitors with on-site sponsors. Refer any problems encountered to Supervisor.
  • Create / apply for physical building access for new employees for the building they are working in with communication from their supervisor / admins in the system as per process. When new employees are provided access add the new employee to the required databases.
  • Visitor Log - Maintain a daily Visitors log both electronically and hard copy as per process. Maintain a long-range calendar of visitors, contractors and tour requests and be prepared to identify scheduling issues. check personal ID, issue and retrieve building access cards. Record as necessary or initiate any site orientation video as needed. Refer any problems encountered to Supervisor.
  • Maintain close communication with Hydro One and/or third-party Security Agents that manage the security for Hydro One buildings regarding the arrival and departure of visitors, tour participants, contractors, and deliveries. Verify the identity of personnel and the purpose of their visit and that they are on the visitor list. Notify the sponsor of their arrival, if necessary. brief designated staff about forthcoming visits or deliveries that are likely to occur after the end of shift. Identify any security issues to appropriate party such as issues with card readers, doors, gates or security cameras, biometrics.
  • Receive, open, sort and distribute mail in accordance with procedures and instructions. Provide special or rush delivery service, as directed. Prepare outgoing mail, arrange for shipment of registered mail with local and/or international courier service, as required. Perform a redirect and tracing service of mail/deliveries, as needed. Accept deliveries and notify recipients of their arrival. Pick up mail at postal box, as required.
  • Provide sponsorship of delivery agents or others as required.
  • Use general office equipment such as binding, laminating or copying; perform minor maintenance, as required.
  • Use Public Announcement (PA) system / fire equipment alarms as communicated by/with the Shift Control Engineer (SCE) who are responsible for the alarms. Occasionally silence an alarm under the SCE direction.
  • Order office supplies (including coffee) and track in systems as per process. Distribute and store supplies.
  • Create vendor tickets or call vendor on behalf of Hydro One for items that need resolution and are identified to receptionist.
  • Perform other duties as required.
Education
Selection Criteria:
  • Requires knowledge of office principles related to records systems maintenance related to receptionist and telephone answering service, courier and mail processing services.
  • Requires a knowledge in the use of a computer, email and other standard office software applications.
  • Requires a knowledge of English to effectively communicate with others.
  • This knowledge is considered to be normally acquired either through the successful completion of Grade XI in a Secondary, Commercial or Technical School or by having the equivalent level of education.
Experience
  • Requires experience to be familiar with the standards and procedures associated with the materials pertinent to the work. Requires experience in a clerical setting to gain familiarity with routines and procedures related to typing, reproduction and clerical services such as conference room & equipment booking, visitor security procedures.
  • A period of up to one year is considered necessary to gain this experience.
