Job summary

InnServices, based in Innisfil, Ontario, seeks a Fleet, Facilities, & Metering Coordinator to manage meter replacement programs, fleet maintenance coordination, and field operations. The role requires attention to safety, policy development, and strong collaboration with management and external partners.

Qualifications

  • 1–3 years of administrative experience in municipal or utility settings.
  • Knowledge of fleet management principles and vehicle maintenance.
  • Valid Class G driver's license and a reliable vehicle.

  • Willing to work flexible hours to meet deadlines.

Responsibilities

The Opportunity

The Fleet, Facilities, & Metering Coordinator coordinates and controls daily work orders and field activities essential to the operation, construction, maintenance, and general repair of InnServices water metering infrastructure while maintaining adequate meter reading and customer service for InnServices billing process service standards and revenue protection.

This position communicates with the public, other Town employees, vendors, management, and utility customers to administrate the activities of customer service field operations and to respond to customer complaints and inquiries through use of m-care. They are also responsible for coordinating activities and functions of the water meter replacement program to ensure that goals and objectives are accomplished within established priorities, time limitations, funding limitations, or other specifications.

Responsibilities include, but are not limited to:
  • Establishes Standard Operating Procedures (SOP’s) for the meter services field staff related to meter and MXU installation standards and holds the staff accountable for following the established SOP’s.
  • Establishes SOP"s regarding follow-up with Utility Billing to correct billing data errors found in the field.
  • Maintains and files a variety of records and reports (i.e., equipment inventory, budget expenditures, requisitions).
  • Coordinates, the activities of Water charged with replacing meters in the field.
  • Makes recommendations to the Manager, Fleet, Facilities and Metering on revisions to meter replacement program goals and objectives, priorities, timelines, schedules, funding, and other specifications.
  • Confers with and advises staff, management, and other departments to provide technical advice, problem solving assistance, and responding to inquiries regarding the progress of the metering.
  • Interacts and maintains liaison with management, other departments, and staff, outside agencies, vendors, and the public in facilitating meter replacement program objectives, answering questions, and dealing with complaints.
  • Prepares periodic reports and records on meter replacement program activities, progress, status, or other special reports.
  • Evaluates meter replacement program effectiveness to develop improved methods; analyzes results and recommends and/or takes appropriate action.
  • Encourages collaboration with the team and is a proactive and engaged member of the InnServices team. Makes and lives up to commitments and follows up with team members to ensure satisfaction of commitments made to others. Contributes to team effort by accomplishing related results as needed.
  • Assist Manager, Fleet, Facilities and Metering with reviewing and investigating fleet specifications and prepares and updates fleet tender specifications.
  • Coordinates with business unit Supervisors, the delivery of vehicles due for preventative maintenance services and repairs.
  • Coordinates the pricing, quotations, acquisition, and delivery of new parts and equipment, outsourced repairs, and warranty work with outside dealers.
  • Assist with billing, coding and other tasks to support fleet and facility operations.
  • Assists with ensuring facilities are maintained in a safe and efficient manner.
  • Assists with scheduling and overseeing facility services.
  • Performs other duties as may be assigned in accordance with corporate objectives.

Qualifications & Core Capabilities:
  • One (1) to three (3) years’ administrative experience in a municipal office environment, water or wastewater environment or in an engineering, conservation or environmental agency or equivalent.
  • Knowledge of corporate fleet management principles such as: asset management, business management, financial management, maintenance management, risk management, emergency vehicle maintenance, and vehicle fuel maintenance. Must have a good understanding of fleet operations regarding repair requirements, scheduling, and maintaining an operating fleet.
  • Community College Diploma in Business Administration or related discipline.
  • Valid Class ‘G’ Driver’s license and reliable vehicle to use on corporate business.
  • Computer literacy utilizing word-processing, spreadsheet, presentation and database software, (Business Portal, FMW, TPS, GIS, Mcare, MOAR).
  • Strong mechanical aptitude is required. Familiarity with building or process automation and/or facility maintenance management system would be an asset.
