Finance & Human Resources Clerk

Position Purpose & Overview

St. John’s School (SJS) is seeking a Finance & Human Resources Clerk to support the smooth day‑to‑day operations of the Finance and Human Resources departments. They will maintain accurate financial records and provide reliable administrative assistance, including processing key financial transactions, supporting accounts payable and invoicing functions, and helping ensure timely and accurate payroll‑related data entry. Working closely with the Human Resources (HR) team, the clerk will assist with recruitment, onboarding, employee documentation, and ongoing HR programs and initiatives. Through detail-oriented work and strong technical knowledge, this position contributes to a well‑organized and supportive workplace environment.

Key Responsibilities

Typical responsibilities and duties are inclusive of, but not limited to:

Finance (Approximately 75%)

Under the direction of the Controller:

  • Record daily bank deposits to Sage 300.
  • Enter accounts payable invoice entries into Sage 300.
  • Prepare and process monthly after school care invoicing.
  • Scan, copy, and maintain organized physical and electronic files.
  • Input Teacher on Call (TOC) hours into Excel tracking spreadsheets.
  • Enter employee timesheet data into Excel spreadsheets.
  • Provide vacation coverage for accounts payable responsibilities.
  • Support Finance department projects and initiatives as needed under direction of the Controller.
Human Resources (Approximately 25%)

Under direction of the HR Generalist:

  • Provide assistance with the recruitment process including generating and posting job profiles, preliminary candidate screenings, and reference checks.
  • Assist in the new hire, termination, and personnel change procedures.
  • Monitor HR‑related documentation to ensure accuracy, consistency, and alignment with business processes.
  • Maintain accurate employee records and payroll documentation in collaboration with the Finance department.
  • Assist in the maintenance and updating of the HR Information Systems.
  • Respond to internal and external HR‑related requests and provide assistance under guidance from the HR Generalist.
  • Assist in the administration of group benefits procedures.
  • Support annual performance management procedures with administrative staff.
  • Providing support with HR projects and school initiatives such as Wellness Professional Development, Quarterly Administrative Meetings, and Engagement Survey initiatives.
Required Qualifications and Key Skills
Education & Work Experience
  • Successful completion of a post‑secondary diploma or degree in Business Administration.
  • Need to be legally entitled to work in Canada.
  • A Basic First Aid certificate is considered an asset.
  • Basic understanding and experience in working with accounting processes.
  • Experience working with accounting software and HRIS is considered an asset.
  • Experience and strong knowledge of the Google Workspace (Google Drive, Docs, Spreadsheets) environment and strong knowledge of Microsoft Excel

This role will require working hours outside of school office hours: often evening events; occasionally going offsite to document student programs; and occasional morning and weekend commitments.

On rare occasions where there are urgent needs at the School, an employee may be assigned to temporarily backfill role(s) critical to the school’s operations and business continuity.

Conditions of Employment
  • The successful candidate will be required to complete child abuse prevention training, concussion training, Level 1 first‑aid training provided by St. John’s School and provide consent for a criminal background check for the vulnerable sector.
  • Clearance on criminal record checks for vulnerable sector is a condition of employment
  • The ability to legally work in Canada, in an educational setting is a condition of employment.
Job Information
  • Fixed contract term from January 5, 2026 until July 31, 2026, with possibility of term extension and/or permanent role.
  • Hours of work: Monday to Friday 8AM - 12PM (noon)
  • Work location: on‑site.

  • Hourly rate range of $25.00 - $27.00 + 4% vacation pay
