OVERVIEW

The Federal Program Manager serves as a liaison between Xerox and its assigned partner, CTI, to oversee all aspects of the DLA contract. This role ensures full lifecycle management of the sales process, contract compliance, and effective cross-functional collaboration. The incumbent will work with and contribute to a broader core team and support organizations both internal as well as core client members.

SCOPE OF POSITION
  • Maintain Xerox’s contractual relationship with the Xerox partner.
  • Lead the client’s contract delivery and pricing efforts.
  • Work with various requests for new business.
  • Ensure successful implementation of the strategy and direction for the business.
  • Market, close, and support sales cycles for all solutions; hardware and services.
PRIMARY RESPONSIBILITIES

RELATIONSHIP MANAGEMENT:

  • Interface with CTI contracting to obtain accurate point of contact details.
  • Manage contract performance and coordinate deliveries.
  • Assist with equipment scheduling, interfacing with the client, carrier and order to install team for implementation planning.
  • Follow up on delivery and financial install, manage removals, and ensure problem resolution and satisfaction.

SUPPLY CHAIN MANAGEMENT:

  • Enable prioritization of order placement by navigating supply chain issues.
  • Facilitate timely Bill of Lading (BOL) submission after delivery.
  • Confirm training and analyst support per contract terms.
  • Monitor period of performance (POP) and billing issues.

CONTRACT COMPLIANCE:

  • Ensure compliance with US Federal governance, rules of engagement, and contract terms.
  • Respond to reverse auctions, RFQs, RFPs.
  • Track wins/losses, proposal submissions, and performance metrics.

PROJECT MANAGEMENT:

  • Collaborate with Sales, order to Install, and service teams to ensure timely fulfillment of contract deliverables.
  • Track and manage project milestones and administrative follow-through.
  • Maintain detailed records of contract progress, issues, and resolutions.
  • Streamline processes and identify process improvement opportunities.

BACK OFFICE SUPPORT:

  • Navigate systems to retrieve and manage contract-related documentation.
  • Monitor and update tracking systems for shipments, installations, and removals.
  • Coordinate with internal departments using Xerox systems for status updates and reporting.
QUALIFICATIONS, EXPERIENCES & ABILITIES
  • Project Management experience – ideally within a government or B2B contracting environment. Strong background in government contract management, procurement, or supply chain administration (preferred).
  • Comfortable with data interpretation and problem-solving in dynamic environments. Proficiency in using tracking tools and business system.
  • Demonstrated proactive initiative taking is a must. Ability to ask questions, suggest process improvements and streamline tasks.
  • Planning, time management, prioritization and execution of document management solutions within an account.
  • Proven ability to build strong, professional relationships with internal teams and external partners. Utilization of solid approaches and key listening skills.
