Job summary

The Globe and Mail is seeking a Facilities Lead to oversee facilities operations, maintenance, and budgets at our Toronto site. You will supervise reception and building staff, manage contracts, and drive safety and efficiency across a fast-paced environment.

Qualifications

  • University degree or College diploma with 2-3 years in a customer service-focused department and/or 1-2 years of supervisory experience.
  • CPR and First Aid Certification.
  • Demonstrated creative thinking and problem-solving skills.
  • Ability to work effectively in a fast-paced environment with strong organizational and time-management skills.
  • Strong contract management and negotiation skills with service providers and vendors.
  • Strong project management skills for coordinating building/facilities projects.

Responsibilities

  • Supervise and coordinate team workloads, providing training and coaching to reception and building management staff.
  • Oversee day-to-day facilities operations and maintenance to ensure a safe, productive workplace.
  • Manage preventive and planned maintenance for building equipment.
  • Prepare departmental budget and capital plans, with monthly forecasting and month-end processing.
  • Review financial reports, analyze variances, and provide cost-management insights.
  • Manage service contracts and vendor relationships, including quotes and negotiations.
  • Coordinate strategic facilities projects and building improvements with minimal disruption.
  • Ensure compliance with health and safety standards and legislative requirements.
  • Communicate updates to employees and collaborate with cross-functional teams.

POSITION OVERVIEW

The Facilities Lead is responsible for overseeing facilities operations and maintenance to support a safe, efficient, and productive working environment for employees. The role coordinates day-to-day facilities activities, maintenance programs, and facility projects while managing departmental budgets, financial reporting, vendor relationships, and health and safety requirements. The Facilities Lead also provides day-to-day leadership and coaching to facilities staff and ensures priorities are effectively managed within a fast-paced and changing environment. This is for an existing vacancy, and a on-site role based in Toronto.

RESPONSIBILITIES
  • Supervise and coordinate team workloads and assignments, providing training, coaching, and support to reception and building management staff.
  • Oversee day-to-day facilities operations and maintenance activities to maintain a safe, effective, and productive workplace.
  • Manage and administer preventative and planned maintenance activities for building equipment and facilities.
  • Prepare the departmental budget and capital plans, including monthly forecasting, accruals, month-end processing, and monitoring of financial expenditures.
  • Review financial reports, analyze variances and spending trends, and provide financial insights to support effective cost management.
  • Manage service contracts and vendor relationships, including obtaining quotes, negotiating agreements, and identifying opportunities for cost efficiencies.
  • Coordinate and administer strategic facilities projects and building improvements, ensuring work is completed on schedule with minimal disruption to employees.
  • Ensure facilities operations comply with applicable legislative requirements, health and safety standards, and safe working practices.
  • Assess and resolve day-to-day facilities issues, including urgent situations requiring timely decisions and effective solutions.
  • Communicate building updates and facilities activities to employees and collaborate with cross-functional teams to understand requirements and support the successful delivery of assignments and projects.

  • Ability to effectively manage competing priorities, tight deadlines, and facilities issues requiring timely resolution.
  • Strong ability to establish priorities, resolve issues, and ensure deadlines are met in a fast-paced environment.
  • Familiarity with accounting practices and principles, including budgeting, forecasting, accruals, and expenditure monitoring.
  • Regular in-office availability from Monday to Friday.
SALARY

The base salary for this role ranges from $78,000 to $85,000 per year. Placement within this range depends on a candidate’s level of experience, technical skills, and alignment with the role’s requirements. Candidates who have been identified as meeting the role’s requirements can expect to be near the midpoint of this range, while the upper end is reserved for those with specialized expertise or a strong track record of success in comparable roles. This role may be eligible for The Globe’s Annual Incentive Plan, which is based on a combination of corporate and revenue objectives and rewards individual performance.
