Job Summary

Now, if you were to come on board as our Facility Coordinator, we’d ask you to do the following for us:

  • Responsible for site Facilities tasks, requests, and issues; main point of contact for the client, employees, visitors, vendors, contractors, and the landlord’s representatives.
  • Contractor orientation and contractor account management.
  • Develop and update the standard procedures for soft services.
  • Manage onsite administrative and custodial team.
  • Maintain and update site uniform program.
  • Perform frequent facility janitorial inspections, including documenting findings and tracking issues through resolution.
  • Work closely with and oversee vendors, contractors, and landlord representatives to successfully execute cleaning, maintenance, and repair requests on furniture, and office equipment.
  • Ensure a high standard of office appearance is maintained in the areas and that all policies and processes are followed.
  • Onboard new hires.
  • Document using Computerized Maintenance Management Software (CMMS) or the work ticketing system.
  • Ensure maintenance work is documented adequately on CMMS and service reports are logged.
  • Document and manage contractor maintenance reporting.
  • Ensure that the budgets for the account are being tracked and met.
  • Process invoices and ensure proper cost center coding.
  • Maintain expense trackers, financial forecasting, etc.
  • Maintain the tracking of purchase orders, invoices, etc., for the account.
  • Other duties as assigned by the management/client.

  • Minimum of 4 years of facility front-line customer service experience, repair of office equipment or an equivalent combination of experience and training that provides the required knowledge, skills, and abilities in a demanding, fast-paced environment.
  • Knowledge of Facilities management systems, including Computerized Maintenance Management Software (CMMS).
  • Post-secondary education
  • Experience supervising unionized teams’ and being accountable for their actions.
  • Excellent interpersonal and communication skills (verbal and written).
  • Be able to develop and enhance partnerships with the client.
  • Proficient in Microsoft Office: Excel, Word and PowerPoint.
