Executive Assistant to the Chief Taxation Officer
About Our Client

Our client is a private holding company.

Position Scope

Our client is seeking a highly organized and proactive Executive Assistant to support the Chief Taxation Officer (CTO), Directors and Tax Team. This role requires exceptional communication skills, attention to detail, and the ability to manage multiple priorities.

Responsibilities

General Administration Duties

  • Providing administrative support to all departmental members.
  • General administrative duties, such as opening mail, scanning, copying, sending documents to CRA, and creating files
  • Completing and reviewing all expense reports and related invoices/other relevant supporting documents.
  • Coordinating departmental office activities.
  • Assisting with calendar management for Chief Taxation Officer and coordinating meetings for team members.
  • Assisting with report and presentation preparation.
  • Making travel arrangements with keen attention to detail, where necessary.
  • Other duties, relevant to the position, shall be assigned as required.
  • Rolling forward files in Caseware and Taxprep
  • Downloading information from CRA’s website and filing it into Caseware
  • Setting up links in Caseware to documents stored in ECM (legal and consulting invoices and reorganization memos)
  • Sorting and renaming files in Caseware inbox
  • Liaising with Accounting and Investments departments for financial statements and other information
  • Liaising with charities for donation receipts
  • E-filing tax returns (requesting balance owing cheques, obtaining signatures, e-filing)
  • Filing final tax returns in ECM and setting up links in Caseware
  • Distributing T3 and T5 slips and filing in Caseware
  • Filing nil assessments in CasewareDrafting routine correspondence and tax forms
  • Miscellaneous other projects
Required Skills and Knowledge
  • Proficient use of various office-based software including Microsoft Office, Excel
  • Strong organizational skills
  • Demonstrates initiative and works independently
  • Experience with Caseware and Taxprep is a bonus
Education and Experience
  • Business Administration degree or diploma
  • 5-7 years’ experience as an Administrative Assistant, or relevant role, considered an asset.
