This isn’t your average EA role – it's an opportunity to truly partner with a CEO while contributing to the culture of a fast‑growing and impact‑driven startup. You’ll be the right hand to leadership and a key player in keeping our office and operations running smoothly. We’re looking for someone energized by the pace of startups and loves to take initiative, building systems from scratch, and stepping in wherever needed. Must be local to Vancouver and excited to be present in the office 2‑3 days a week.
Executive Partnership: The primary purpose of this role is to be an extension of the CEO’s brain–anticipating needs, spotting gaps, and ensuring priorities don’t slip. We’re looking for someone who is excited by the opportunity to closely collaborate with a CEO and frequently check‑in. The right candidate will learn the CEO’s communication style to help draft emails and edit external communications. This aspect of the role is designed to grow with you as the company scales.
Meeting & Event Coordination: Thoughtfully schedule meetings by learning who the stakeholders are, asking clarifying questions, and intuitively understanding how to prioritize the day. This includes setting up meetings, preparing travel arrangements, organizing leadership off‑sites, drafting agendas, taking notes, distributing summaries, tracking follow‑ups, and more!
Team Culture & On‑site Office Management: Contribute to the team’s culture and make the office a great place to work by strategizing opportunities for in‑person collaboration and improvements to the workplace.
Project and Operations Support: Take initiative in building and improving cross‑functional processes, from finance and accounting to IT, onboarding, OKRs, and events. Stay fluent in the tools that power our startup (Google Workspace, Notion, Slack, Jira, etc.) and help optimize them as we grow.
Proactive self‑starter who thrives in ambiguity, asks good questions, takes ownership, builds processes, and drives projects forward without waiting for direction.
Proven ability to manage multiple projects at a fast pace.
Outstanding written and verbal communication skills; capable of writing clear, concise, and human‑friendly internal docs and messages.
High emotional intelligence and discretion; comfortable handling confidential or sensitive information. Friendly, resourceful, and calm under pressure.
Strong organizational and time‑management skills, with attention to detail and follow‑through.
Technologically savvy and quick to learn new tools (e.g., Notion, Slack, Jira, Google Workspace, Airtable, Confluence, etc.)
3–5 years of relevant experience in an administrative, operations, or project coordination role, bonus points if this includes partnering with a C‑suite leader or engineering teams!
Experience in a startup or tech company is a big plus, though we are open minded to smart individuals who are looking to grow in their career.
Strong educational background and/or interest in climate‑focused technology.
Project management experience including experience with internal knowledge management tools.
