Job summary

Photonic Inc. in British Columbia (Hybrid) seeks an Executive Assistant to the CEO. The role is full-time, based in our Coquitlam executive office with three days onsite weekly.

Compensation ranges CA$105,900 to CA$145,600 per year, with relocation options and a comprehensive benefits package. You will provide high-level administrative and operational support, managing calendars, communications, travel, and reporting to enable the CEO and the organization to operate efficiently in a fast-paced,

Qualifications

  • Minimum of 8-10 years of experience in a senior administrative role supporting executive leadership.
  • Advanced Microsoft Office skills and ability to learn new programs quickly.
  • Strong time management and ability to coordinate multiple concurrent projects.
  • Excellent written and verbal communication with high professional discretion.
  • Proven ability to maintain confidentiality and manage sensitive information.

Responsibilities

  • Manage scheduling for CEO, including agendas, mail, email, phone calls, client management, and company coordination.
  • Schedule meetings and travel itineraries and coordinate logistics for events.
  • Coordinate executive communications and respond to emails while interfacing with clients.
  • Plan and orchestrate work to align senior executives' priorities with organizational goals.
  • Prepare internal and external corporate documents for team members and industry partners.
  • Track daily expenses and prepare weekly, monthly, or quarterly reports.
  • Maintain smooth information flow and uphold a structured filing system.
  • Uphold strict confidentiality and professional discretion in all matters.
  • Develop and sustain a calm, solutions-focused support environment for the CEO.

Description

The Executive Assistant will serve as a trusted partner to the CEO with room to grow throughout the company. The individual will provide high-level administrative and operational support in a fast-paced, dynamic environment. This hybrid role is based in our Coquitlam executive office, with an expectation of three days onsite per week.

We’re building a distributed quantum computing platform that has the potential to transform scientific discovery, artificial intelligence, national security, and other computationally intensive fields.

The ideal candidate is an experienced Executive Assistant who demonstrates exceptional judgment, discretion, attention to detail, and communication skills. They are proactive, highly organized, and able to anticipate needs, solve problems, and manage competing priorities with confidence and professionalism. Comfortable operating in an environment where priorities can shift quickly, this individual is resilient, and adaptable. They bring a calm, solutions-focused approach, maintain strict confidentiality, and thrive supporting a high-performing executive and organization.

WHAT WE NEED YOU TO DO
  • Manage scheduling for CEO, including agendas, mail, email, phone calls, client management, and other company coordination.

  • Maintain an organized filing system of electronic documents.
  • Uphold a strict level of confidentiality.
  • Develop and sustain a level of professionalism among staff and clientele.
WHAT YOU BRING TO OUR TEAM
  • Minimum of 8-10 years of experience in a senior administrative role working with executive leadership
  • Strong time management skills and an ability to organize and coordinate multiple concurrent projects.
  • Ability to main confidentiality of information related to the company and its employees.
  • Advanced Microsoft Office skills, with an ability to become familiar with other programs and software.
  • Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
