Overview
Executive Assistant / Project Manager to provide pivotal support for the President in a fast-moving, collaborative environment. Based in the Saint John office with flexible work hours and a hybrid arrangement (3 days in the office minimum).
We are seeking a proactive, tech-savvy professional with strong organizational skills, excellent communication, and a drive to turn ideas into action. You will serve as a trusted problem-solver and partner for the President, supporting administrative, organizational, project coordination, and communication needs.
Responsibilities
- Project management and execution of strategic initiatives: define goals and objectives, outline scope, manage timelines, monitor progress, track budgets, and provide regular updates to the President.
- Prepare and distribute business summaries and project reports.
- Executive partnership: act as a confidential administrative ally to the President; manage the President’s schedule and meetings; prepare materials and provide proactive daily organizational support.
- Craft and polish executive-level communications, briefing notes, and presentations.
- Support strategic financial oversight by coordinating operating budgets reporting and progress on business plan objectives and key results, including quarterly team meetings.
- Drive execution by managing requests, tracking action items, and ensuring key deliverables are met by direct reports and support teams.
- Act as a liaison for the President with internal colleagues and external stakeholders.
- Maintain organized and confidential information through meticulous file and database management, including electronic filing systems.
- Arrange business travel and related logistics.
- Organize and facilitate internal meetings: agendas, minutes, action items, attendance tracking, logistics, virtual workspaces, room bookings, setup, and media support.
- Collaborate with other Executive Assistants to plan and execute large-scale events, meetings, and conferences.
- Coordinate special projects and finalize and distribute reports; occasional business travel may be required.

Qualifications
- Strong business acumen with the ability to analyze and interpret financial and business reports; ensure information provided to the President is vetted and accurate.
- Exceptional organizational skills and attention to detail; ability to manage and prioritize multiple tasks in a fast-paced setting.
- Outstanding written and verbal communication; able to prepare and polish professional materials.
- Ability to build positive working relationships at all levels.
- Tech-forward and adaptable; proficient with MS Office and comfortable with emerging technologies including AI.
Experience
- Three to five years of experience in project and administration management.
- Creative, automation-minded thinker with enthusiasm for technology.
- Prior experience in fast-paced financial, startup, or technology sectors is valued.
