Are you a highly experienced administrative professional, recognized for your discretion and expertise in corporate governance? A leading public organization in its sector is seeking a high-caliber Executive Assistant to support its Chief Legal and Compliance Officer and Corporate Secretary (CLO).
Permanent Position Opportunity
Location: Ville Saint-Laurent
Annual Salary: $90,000 to $100,000 plus annual bonus
Schedule: 40 hours per week, Monday to Friday
Hybrid Model: 2-3 days in the office, 2 days at home

Reporting directly to the Chief Legal and Compliance Officer, this crucial role is split between two key functions : Board Liaison and High-Level Executive Support.
Coordinate and facilitate all meetings of the Board of Directors and its Committees (scheduling, preparing agendas, uploading documents to electronic platforms like BoardVantage) in a timely manner.
Liaise with management to obtain approved documents for Board or Committee meetings.
Coordinate minutes for all Board and Committee meetings for review by the CLO.
Professionally assist directors with inquiries, manage their expenses, and support the effective onboarding of newly appointed directors.
Facilitate accurate and timely communications between the Board of Directors and the Executive Management Committee.
Manage the CLO’s complex calendar, establishing priorities and reviewing them as needed.
Organize the CLO’s travel arrangements as required, including coordinating travel and hotel preparations.
Process expense reports.
Organize quarterly meetings and events.
Maintain the organizational chart for the team.
Education: College or professional degree in Secretarial Studies, or an equivalent combination of relevant training and experience.
Experience: Minimum 10 to 15 years of experience as an Administrative Assistant, with considerable experience in Board of Directors support functions for a publicly traded company.
Language Skills: Essential bilingualism (French and English), both written and spoken.
Technology: Expert knowledge of the Microsoft Office Suite, including PowerPoint and MS Project.
Essential Qualities: Strong attention to detail, excellent organizational and planning skills, tact, diplomacy, and a strong respect for confidentiality. Ability to thrive in a fast-paced environment and work effectively as a dynamic team player.
