Job description

Our client is seeking an Executive Assistant. The role will include PA work, which will support the President and additional executives on occasion. This is an EA role that will require 5 days in the office, and a vehicle and driver’s license for errands. The Executive Assistant will support the President’s day-to-day administrative needs and, as requested, facilitate personal travel, family business, and a variety of diverse responsibilities.

About the Opportunity

Working directly with the President and supporting multiple executives, you’ll manage calendars, meeting requests, travel arrangements, and manage the day-to-day. Personal errands are also part of this role, so you won’t be stuck in the office all day. A valid driver’s license and reliable vehicle are required, as is flexibility with scheduling.

About the Position
  • Manages calendars and schedules.
  • Provides meeting materials, prepares agendas, and presentations.
  • Prioritizes communications that may include email and calls.
  • Books personal appointments, assists with family appointments.
  • General errands, shopping, and personal tasks.
  • Manages expenses and produces expense reports.
  • Responsible for coordinating meetings, transportation, and international travel.
  • Orders office supplies, manages vendor contracts, and oversees facilities maintenance.
  • Generates reports, formats correspondence, and communications.
  • Travel around the Lower Mainland - must drive and have access to a reliable vehicle.
Requirements
  • Must have 5+ years in an Executive Assistant role, preferably a role that includes PA work.
  • Post-secondary education is preferred.
  • Proven ability to prioritize tasks and anticipate needs.
  • Must be able to work with confidential information with discretion.
  • Experience managing calendars and schedules.
  • Experience booking international travel.
  • Strong computer skills and the ability to format and produce quality communications and presentations are required.
  • Excellent communication skills, proven ability to build relationships, trust, and confidence.
  • Must be able to pass a background check.
  • Access to a reliable vehicle, a clear driver’s abstract, and a driver’s license are required.
Compensation
  • Annual salary range $65,000 – $90,000, depending on experience and qualificationsli>
