Job summary

IREN is seeking an Executive Assistant to support the Chief Information Security Officer in Vancouver. This role combines high-level executive support with cross-functional operational coordination across a global IT team.

You will manage complex calendars, prepare meetings, and liaise with internal teams and external partners. The position requires discretion, professionalism, and strong organizational skills to enable leadership to focus on strategic priorities.

Qualifications

  • 5+ years’ experience in an admin role supporting a corporate Senior Leader.
  • High professionalism, diplomacy and discretion in all interactions.
  • Detail-oriented self-starter with senior-exec support experience.
  • Strong business acumen; able to make autonomous decisions.
  • Proactive, resourceful and collaborative across functions.
  • Excellent organizational and project management skills.
  • Flexible to work across multiple time zones.

Responsibilities

  • Manage the Chief Information Security Officer’s complex calendar including scheduling meetings, travel arrangements (domestic and international), and speaking engagements.
  • Organize meetings by gathering documents, creating agendas, taking minutes, and coordinating logistics.
  • Screen calls and visitors, answer inquiries with professionalism, and direct communications.
  • Support IT team processes, apply judgment to adapt to shifting priorities and aid business operations.
  • Provide support to other departments, administrators, or executives as needed.
  • Maintain team records, distribution lists, documents and shared files for accuracy and accessibility.
  • Coordinate invoice management for IT, vendor tracking, approval workflows and records.
  • Draft, review, and send communications on behalf of IT leadership.
  • Manage department credit cards, ensuring funds and logging receipts.

The Executive Assistant will serve as a trusted operational partner to the Chief Information Security Officer, enabling them to focus on what matters most. Based in Vancouver, this is a high-impact role that combines high-level executive support with cross-functional operational coordination across a global Information and Technology Team. You'll be joining at a pivotal time, supporting one recently appointed executive as they build out their function.

Job Requirements
  • Manage the Chief Information Security Officer’s complex calendar, including scheduling meetings, appointments, travel arrangements (domestic and international), and speaking engagements.
  • Organize and prepare for meetings by gathering documents, creating agendas, taking minutes, and coordinating logistics.
  • Act as a liaison between the teams and external parties, screening calls and visitors, answering inquiries with professionalism, and directing communications as needed.
  • Support the processes and activities of the Information Technology team, applying judgment and discretion to identify operational needs, adapt to shifting priorities, and contribute directly to the effective management of the team’s business operations.
  • Provide additional support to other departments, administrators, or executives as needed.
  • Maintain team records, distribution lists, organizational documents and shared files to ensure key information is accurate, accessible and well organized.
  • Coordinate invoice management for the IT team, including vendor tracking, approval workflows, payment follow-up and record keeping.
  • Draft, review, and send communications on behalf of the IT leadership team as required.
  • Manage department credit cards, ensuring sufficient funds are available and receipts are logged accordingly.
Job Responsibilities
  • 5+ years’ experience in an administrative support role to a corporate Senior Leader.
  • Maintains a high degree of professionalism, diplomacy, and discretion in all internal and external interactions.
  • Detail-oriented self-starter with experience supporting senior executives or teams.
  • Strong business acumen with the ability to exercise independent judgment and discretion on matters of significance; able to assess priorities, make autonomous decisions, and act on behalf of leadership with confidence and accountability.
  • Proactive, resourceful, and passionate about taking on new projects and ideas.
  • Team player with a proven ability to build collaborative relationships across functions and jurisdictions.
  • Excellent organizational and project management skills.
  • Solution-focused and energized by team success, able to remain positive when faced with setbacks.
  • Agile in adapting to shifting priorities.
  • Advanced proficiency in Microsoft Office 365.
  • Possess strong values and a commitment to fostering a culture of camaraderie and collaboration.
  • Flexibility to adapt to multiple time zones given IREN’s operations across North America Australia and Europe.

  • The expected base salary for this role starts at CAD $90,000 - $120,000/annum.
    • Actual compensation will be determined based on factors such as experience, qualifications, and market data for the region.
