Qualifications

  • 7+ years of executive support experience at the C-suite or senior leadership level.
  • Strong organizational and prioritization skills with the ability to manage multiple competing demands.
  • High level of discretion, emotional intelligence, and professionalism in handling sensitive information.
  • Exceptional written and verbal communication skills.
  • Advanced proficiency in Microsoft Office (Word, PowerPoint, Excel) and collaboration tools.

Executive Assistant Reporting To : CEO and Executive Leadership Team

Location : Toronto, ON (Hybrid)

Tenure : Contract to Permanent (6 months)

Position Overview

Our client is a global IT service provider helping companies modernize, manage and optimize on technological investments. The Executive Assistant (EA) provides high-level, strategic and administrative support to the CEO and executive leadership team. This role requires exceptional organizational skills, discretion and business judgment, as well as the ability to operate in a fast-paced environment within the IT services industry. The EA will serve as a communication bridge, manage complex priorities and support strategic initiatives that drive company success.

What will you be doing?
  • Executive Support
  • Provide proactive administrative and strategic support to the CEO and executive leadership team, anticipating needs and ensuring leaders are fully prepared
  • Manage complex calendars, coordinate meetings across multiple time zones, and prepare agendas and materials
  • Draft, edit, and distribute executive communications, presentations, and reports with professionalism and accuracy
  • Coordinate travel logistics and process expense reports in a timely manner.
  • Board & Stakeholder Engagement
  • Support preparation and distribution of materials for Board of Directors meetings and senior forums
  • Liaise with internal and external stakeholders, ensuring effective communication and timely follow-ups
  • Communication & Operations
  • Act as a communication hub between executives, employees, and partners
  • Maintain meeting records, track action items, and ensure timely completion
  • Support internal communication initiatives in partnership with HR and leadership
  • Event & Project Management
  • Plan and execute leadership offsites, town halls, client events, and internal meetings
  • Provide project coordination support on strategic initiatives as needed
  • Office and Team Support
  • Support day-to-day office operations and HR initiatives as required
Must Haves
