Job summary

An educational organization is seeking an experienced Executive Assistant to support the President & CEO. The ideal candidate will have strong organizational and analytical skills, be able to manage correspondence and schedules effectively, and have over 5 years of experience in a corporate setting. Bilingualism is a plus. This full-time position includes a competitive salary range of $70,000 to $85,000 annually.

Executive Assistant

Department: Executive

Reporting To: President & CEO

Compensation: $70,000 - $85,000 / year

Description

We are looking for an experienced professional recognized for their initiative, ability to “manage up”, excellent organizational & analytical skills and ability to prioritize & multitask. You will be accountable for managing schedules and executive correspondence to ensure the effectiveness of the executive leadership team.

Challenges to be Met
  • Apply appropriate due diligence ensuring accuracy in preparing and completing all required supporting documentation (reports, presentations, invoices, communications, tables, charts, files, packages for committee meetings, etc.).
  • Manage CEO’s E-mails & calendars and execution of quality correspondence. Perform other administrative assignments as required.
  • Professionally in managing correspondence, information, and all matters of confidentiality; report issues where appropriate.
  • Coordinate CEO and Executive team meetings. As required, prepare presentation materials and agendas for the meetings. Ensure relevant information is assembled and prepared for meetings in a timely manner.
  • Prepare expense reports ensuring accuracy and adherence to finance policies ensuring expense reimbursement is within the expense report guidelines; validate expense reports prior to approval.
  • Demonstrate a digital-forward and competitive approach to leveraging new technology to support the CEO and the Executive team as a whole.
  • Execute and provide assistance with annual corporate initiatives, led by the CEO and key stakeholders.
  • Lead and coordinate Sales, Marketing and Partnership event planning and execution including but not limited to obtaining quotes, preparing cost comparisons, securing and coordinating with vendors and attending events in-person
  • Act as Chair to the Equity Diversity & Inclusion Committee and support initiatives within the Employee Engagement Committee
Who are we looking for:
  • High school diploma with over 5 years of relevant experience. University Degree is preferred.
  • Experience working with executive team in a corporate environment.
  • Computer skills with programs including but not limited to: Microsoft Office Suite, Microsoft Teams, Salesforce.com, OneDrive, etc. Eager to learn new applications and online platforms.
  • Ability to work independently and be flexible for effectively coordinating processes and information across related stakeholders.
  • Perform tasks that involve different range of complexity with autonomy.
  • A dynamic professional who is eager to learn and take initiative on upcoming tasks.
  • Excellent interpersonal skills and strong written and spoken communication to interpret policies and apply standards to complete assignments in a fast‑changing environment.
  • Excellent time management, ability to multitask and desire to learn fast and independently.
  • Bilingualism would be an asset.
