We are rapidly growing and looking for a professionally experienced and diligent Executive Assistant to the CEO. The right candidate will have many years of relevant experience reporting to C‑Suite, with robust ability to juggle multiple priorities and follow up with colleagues across multiple functions.

Responsibilities
  • Manage and maintain the CEO’s calendar and ensure that the CEO is fully prepared for all meetings and engagements with relevant briefing notes.
  • Manage CEO’s travel, balancing cost and time efficiency as well as processing expenses.
  • Conduct regular meetings with the CEO to discuss upcoming engagements and invitations and all other requests for the CEO’s time. Taking notes. Responding to invites and making necessary arrangements.
  • Schedule meetings between the CEO and their direct reports and the teams.
  • Liaise with external event organizers and hold the administrative and organizational responsibilities related to external event calendar.
  • Filter general information, queries, phone calls and invitations to the CEO by redirecting or taking forward such contact as appropriate.
  • Undertake desktop research as necessary to support the CEO’s preparation for meetings and presentations.
  • Keep and maintain an accurate record of papers and electronic correspondence on behalf of the CEO.
  • Handle confidential information; organize and maintain files.
  • In the absence of the CEO, prepare correspondence on their behalf.
  • Meet and greet CEO’s guests and ensure they are looked after.
  • Answer and respond to phone calls, emails / messages on behalf of the CEO.
Skills & Qualifications
  • Must have served as full‑time Executive Assistant to C‑Suite for at least 5 years in North America
  • Excellent written and verbal communication
  • Time‑management and multi‑tasking
  • Great attention to detail
  • Strong follow up and excellent team coordination skills
  • Must be comfortable in a fast‑paced work environment
  • Expert and proficient in computer applications such as Microsoft Office (PowerPoint, Outlook email, Excel, Word)
