What the position entails:
The Executive Assistant reports directly to the CEO, with the primary focus on providing high-level, comprehensive support to the CEO and Executive Team. This role is critical in facilitating strategic coordination across daily operations and long-term initiatives.
The position requires exceptional commitment to confidentiality, meticulous attention to detail, and the ability to thrive in a dynamic and evolving environment.
The Executive Assistant must demonstrate flexibility, sound judgment, and excellent communication skills while managing complex workflows, competing priorities, and sensitive information.
What you will do:
- Serve as the primary point of contact and trusted liaison for the CEO, ensuring seamless communication and coordination across the Leadership Team and key stakeholders.
- Provide strategic and comprehensive administrative support to the Executive Team, including calendar management, travel arrangements, and prioritization of commitments.
- Coordinate and facilitate high-level internal and external meetings, including scheduling, agenda development, briefing materials, and follow-up actions.
- Prepare and review executive-level reports, presentations, and documentation for board meetings, strategic initiatives, and organizational projects.
- Support the CEO in monitoring progress on key strategic initiatives, tracking deliverables, and ensuring alignment with organizational priorities.
- Maintain the highest level of confidentiality and discretion in handling sensitive information and executive communications.
- Assist in planning and executing special projects, organizational events, and leadership offsites, ensuring flawless delivery and attention to detail.
- Proactively identify, address, and resolve operational challenges, ensuring seamless execution of priorities and smooth functioning for the CEO and Executive Leadership Team.
- Assist the CEO in coordinating and reviewing company-wide communications in collaboration with the Marketing and Communications team, including preparing town halls, drafting organizational announcements, and ensuring consistency in messaging across the company.
- Support the CEO and Executive Leadership Team by gathering, reviewing, and organizing key business data and metrics for executive reports, presentations, and company updates, ensuring accuracy and clarity in collaboration with relevant departments.
What you will do:
- Bachelor’s degree in business administration, Management, Communications, or a related field is preferred.
- Minimum of 5 years of experience providing executive-level support to C-suite or senior leadership, with a proven track record of managing complex workflows and high-level administrative responsibilities.
- Prior experience in or familiarity with the geomatics, engineering, or consulting industries is strongly preferred.
- Deep understanding of, or prior experience within, the geomatics, engineering, or professional services industry is highly advantageous, enabling the Executive Assistant to anticipate business needs, support strategic priorities, and effectively liaise with technical corporate and operational teams.
- Exceptional organizational and time-management skills.
- Excellent written and verbal communication abilities.
- Proven ability to succeed in a fast-paced, technically driven environment.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, copilot) with the ability to create executive-level reports and presentations; familiarity with project management tools is considered an asset.
- Advanced proficiency in leveraging AI tools to support strategies, implementations, and workflow optimization for enhanced efficiency.
- High level of discretion and confidentiality in handling sensitive information.
- Proven ability to handle multiple priorities with discretion and a high degree of professionalism.
- Strong problem-solving skills and the ability to work independently.
