A recruitment agency is seeking a first-class Executive Assistant to support executive leadership in Kingston, Ontario. The successful candidate will manage calendars, prepare communications, coordinate travel, and support meetings. Executive Assistant – Owner & COO

MacDonald Search Group has been asked by our construction development client to find a first-class Executive Assistant to support their Owner and COO in Kingston, Ontario. The primary responsibility of this role will be to provide high-level administrative and operational support to executive leadership—ensuring priorities are managed efficiently, communication flows seamlessly, and the organization runs smoothly day to day.

Responsibilities
  • Manage executive calendars, meetings, and communications with a high degree of professionalism and discretion.
  • Prepare correspondence, reports, and presentations, often on behalf of senior leadership.
  • Coordinate complex travel arrangements, itineraries, and logistics for both business and personal needs.
  • Act as a liaison between executives, staff, and external partners to ensure alignment and follow-through.
  • Support planning and execution of meetings, corporate functions, and special projects.
  • Handle confidential and time-sensitive matters with sound judgment and integrity.
Qualifications
  • 5+ years of experience supporting senior executives in a dynamic, fast-paced environment.
  • Strong organizational skills and proven ability to manage multiple priorities effectively.
