Overview

Executive Assistant – Short-Term (14 months) / Full-Time

Location: Burnaby, B.C.

Reporting to the General Counsel and Corporate Secretary (the GC), the Executive Assistant is responsible for performing executive administration functions and ensuring the smooth operation of the office of the General Counsel and Corporate Secretary. The position facilitates the flow of information between the GC, CEO, Executive Committee, branch managers/staff and external stakeholders. It includes confidential and sensitive research assignments and special projects, time management support, project follow-up, drafting letters, managing invoices, and operating budget oversight.

Responsibilities
  • Provide executive administrative support to the General Counsel and Corporate Secretary, including scheduling, correspondence, and preparation of materials for meetings.
  • Coordinate information flow between the GC, CEO, Executive Committee, branch management, staff, and external stakeholders.
  • Conduct confidential research and manage special projects requiring discretion and sound judgment.
  • Assist with time management, project follow-up, drafting letters, and tracking invoices and operating budgets.
Qualifications
Education & Experience
  • College diploma in commerce or business administration or other relevant field.
  • Considerable experience in managing administrative activities with senior executives and/or as a legal assistant in a fast-paced, complex environment.
  • Or an equivalent combination of education, training and experience acceptable to the Employer.
Knowledge, Skills and Abilities
  • Knowledge of managing financial and administrative activities for an office of a senior executive.
  • Knowledge of records management procedures, including records retention and disposition; ability to classify records.
  • Ability to learn BC Housing policies, programs, and operating requirements.
  • Ability to handle confidential information with professionalism and discretion.
  • Ability to foster strong working relationships with internal and external stakeholders, with cooperation and mutual respect.
  • Strong organizational skills to manage multiple assignments, prioritize, and meet deadlines under pressure.
  • Excellent problem-solving, interpersonal, and customer service skills for interaction with staff at all levels and external stakeholders.
  • Excellent written and verbal communication skills for business correspondence and the executive office environment.
  • Proficiency in Microsoft Office applications.
  • Criminal Record Check required.
