Job summary

Archway in Abbotsford, BC is seeking an Events and Communications Coordinator to support staff and community events. You will work with Marketing & Communications to promote inclusive events, collaborate with committees, and help with planning, logistics, and post-event follow-up.

The role requires strong organizational, communication and design skills, with a passion for creating engaging experiences for staff and community members. Part-time, on-site, 24 hours per week.

Qualifications

  • One to two years post-secondary education in event planning, public relations, or communications is an asset.
  • Experience planning events for small and large groups.
  • Experience working with committees to organize events.
  • Experience with social media and design software like Canva.
  • Experience with WordPress or other website CMS is an asset.
  • Experience working with non-profit organizations is an asset.
  • Experience working with virtual and/or hybrid events is an asset.
  • Experience organizing golf tournaments is an asset.
  • Experience with public speaking and emceeing is an asset.
  • Valid BC Driver’s Licence and clean driving record.

Responsibilities

  • Coordinate and support multiple concurrent Archway events including General Meeting, Community Builders Awards, community events, and staff engagement events.
  • Develop and outline events for the year with budget estimates and allocations.
  • Handle venue bookings, permits, risk assessments, vendor contracts, catering, ticket sales, set-up and takedown.
  • Ensure events are accessible and coordinate accommodation requests.
  • Communicate with vendors, sponsors, volunteers, staff, attendees, speakers and dignitaries about plans and logistics.
  • Promote events internally and externally via social media, intranet, print materials and other channels.
  • Coordinate volunteers to assist at events and represent Archway.
  • Design and proofread event materials like speaking notes, bios, programs, signage and ads.
  • Create post-event surveys to measure success and gather feedback.
  • Track registrations, payments, agendas, notes and minutes.
  • Develop and maintain event playbooks for streamlined planning.

Job Summary

The Events and Communications Coordinator will work closely with the Marketing & Communications team to promote culturally inclusive community, staff and program events. They will also work with various event committees, as well as our administration team and Philanthropy team as needed. The Events and Communications Coordinator will be responsible for the planning, organizing, implementing, and follow-up regarding event activities and deliverables for recurring annual events such as the annual Community Builders’ Awards, Annual General Meeting, community events, staff engagement events and more. The Coordinator will support fundraisers, program events and established community events with communication strategies, event planning and event day support.

The ideal candidate will have a background in event planning, strong administrative skills, demonstrated ability to communicate well, and have a passion for creating engaging and memorable experiences for staff and the community.

Your Role
  • Coordinating and supporting multiple concurrent Archway events including the Annual General Meeting, the Community Builders Awards, community events, and staff engagement events.
  • Developing and outlining the events to take place during the year in collaboration with the Associate Director and determining budget estimates and allocations.
  • Handling venue bookings, permits, risk assessments, vendor contracts, catering, ticket sales, event set-up and take-down.
  • Ensuring events are accessible for all and coordinating accommodation requests.
  • Communicating with event vendors, event partners, event sponsors, event volunteers, Archway staff, event attendees, event speakers and dignitaries regarding event plans and logistics.
  • Liaising with the Marketing and Communications team to promote the events both internally and externally through various communications modes including social media, traditional media, Archway’s intranet and internet, print materials, and more.
  • Coordinating volunteers to assist at events and represent Archway.
  • Designing and proofreading various event materials such as speaking notes, speaker bios, event programs, signage, and print ads.
  • Creating and distributing post event surveys to measure success and gather feedback.
  • Keeping track of event registrations, payments, agendas, speaking notes, and minutes.
  • Following, creating and editing event playbooks to streamline event planning.

  • Wage: $24.00 to $26.00 per hour
  • A part-time position at 24 hours per week, 3-4 days a week between Monday to Friday, with the possibility of additional hours during peak times. Some work will be required outside of regular business hours.

Getting an Interview – you will be considered if you have:

The Job Also Requires you to have:
  • Demonstrated ability to anticipate needs of event attendees, speakers, support staff, and volunteers.
  • Ability to collaborate effectively with Agency leadership, program staff, non-profit or publicly funded groups, organizations, and community partners.
  • Strong verbal, written, and active listening communication skills; ability to communicate clearly and respectfully with people from diverse backgrounds, cultures, and varying levels of English.
  • Strong organizational and time managements skills; ability to balance and manage competing projects and priorities.
  • Demonstrated knowledge of Microsoft Office 365, including Word, Excel, Outlook, and Powerpoint to create reports and various documents.
  • Skills in being able to efficiently prioritize workload to respond to changing conditions, deadlines, and priorities.
  • Ability to effectively manage last minute, emergency and crisis situations.
  • Ability to work outside of normal business hours to accommodate Agency, staff, and client needs.
  • Ability to work in a high-pace environment with demanding deadlines.
  • The use of a personal vehicle is required for program-related driving; must be able to be insured according to Archway’s transportation policy.
  • Able to lift and carry up to 25 lbs and stand for extended periods during set-up and events.
  • A satisfactory Criminal Records Check is a condition of employment.
