Job summary

A dynamic public sector organization is seeking an Admin Executive to support key administrative functions and event logistics. The role involves establishing stakeholder databases, managing nominations for awards, and providing secretarial support for important meetings. Ideal candidates are degree holders with at least 3 years of experience and proficient in Microsoft Office. This is an 8-month contract role with a salary of up to $4K monthly.

Responsibilities

  • Send invitations and compile RSVP lists for award ceremonies.
  • Support on-site event management during award ceremonies.
  • Maintain accurate records in SharePoint and ERS.

Join our team as an Admin Executive in a dynamic public sector environment. In this role, you will support key administrative functions, event logistics, and stakeholder management, while contributing to the smooth operation of prestigious award ceremonies. This position offers an excellent opportunity to gain hands‑on experience in event management and public sector administration.

Location: Nearest Mrt (Outram Park)
Working Hours: 8.30am – 6.00pm (Monday to Thursday), 8.30am - 5.30pm (Friday)
Salary: Up to $4K
Start Date: Jan 2026
Duration: 8-month contract

Responsibilities
  • Establish and maintain a comprehensive database of stakeholders, including year‑on‑year guest lists.
  • Manage the open nomination process and liaise with nurses for receiving National Merit Awards (NMA) and Public Administration Medals (PAN).
  • Provide secretarial support, including logistics for meetings and interviews.
  • Coordinate with internal and external stakeholders, including vendors.
  • Curate and compile photos from institutions congratulating NMA and PAN recipients.
  • Send invitations and compile RSVP lists for guests attending the National Award Ceremonies, including supporting table arrangements.
  • Collaborate with vendors to ensure smooth running of the award ceremonies.
  • Support on‑site event management, ensuring delivery of PAN trophies and NMA badges.
  • Maintain accurate records in SharePoint and ERS, and disburse PAN and NMA cash awards to recipients.
Requirements
  • Degree holder with a minimum of 3 years of working experience.
  • Proficiency in basic Excel and other Microsoft Office programs.
  • Meticulous with strong attention to detail.
  • Independent and self‑driven.
  • Prior experience in event management or administrative support is a plus.
