Enrolment and Development Coordinator
20-30 hours a week
The Enrolment and Development Coordinator will oversee the enrolment process, marketing, fundraising, community outreach, and non-curricular programs. This person works closely with the Business and Administration Coordinator, Faculty, Board Secretary, Marketing + Fundraising Committee, marketing staff, Board of Trustees, and Parent Council.
The Coordinator ensures that development processes align with our strategic plan.
Tasks and Responsibilities
Development Office
- Maintain a schedule of regular office hours and provide reception support, handling calls, inquiries, and emails.
- Update the website as needed.
- Coordinate with Social Media team regularly.
- Publish the monthly newsletter.
- Update the School Handbook collaboratively with faculty and the Business and Administration Coordinator.
Enrolment/Re-enrolment
- Manage Ravenna Student Management system.
- Support enrolment objectives in partnership with Faculty and the Board, ensuring all procedures are followed.
- Conduct school tours for prospective families, guide them through applications, and coordinate interviews with faculty.
- Follow up actively with new applicants.
- Communicate Waldorf pedagogy to parents and community members.
- Assist families with Ravenna Student Management system.
- Serve as the first point of contact for families, manage back-to-school communications.
- Create a list of new families for Parent Council.
- Prepare and deliver new Parent Orientation.
- Collaborate on updating admissions materials for January distribution, communicate with Parent and Tot families, coordinate meetings, finalize re-enrolments, and manage the enrolment process from application to confirmation.
Community Engagement and Outreach
- Maintain relationships with relevant local and national organizations.
- Represent SSWS through public presentations, in collaboration with program directors and faculty.
- Support Open Houses and Community Gatherings.
Marketing and Promotion
- Oversee the creation and distribution of enrolment materials, collaborating with committees and volunteers.
- Manage promotional material requests and distribution.
AWSNA/WECAN
- Act as AWSNA delegate.
- Assist with AWSNA faculty delegate in preparing for accreditation and self-study.
Spring Break and Summer Camps
- Develop camp schedules, staffing, and themes.
- Manage registration through Zeffy, prepare materials, and oversee registration forms and lists.
- Apply for Canada Summer Jobs Program, post jobs, interview, hire with approval, and complete reporting.
Parent + Tot Program
- Coordinate with the Parent + Tot Leader to create schedules and sign-up sheets.
Attend weekly faculty meetings, monthly Board meetings, annual reviews with the Board's Executive Committee, and monthly Marketing + Fundraising and Parent Council meetings.
