Are you organized and detail-oriented, seeking an impactful support role? We are looking for a dedicated Administrative Assistant to support our retirement consulting group. You will facilitate smooth operations and improve client experiences by preparing invoices, managing schedules, coordinating meetings, handling communications, and assisting with client materials. Your organizational skills, proactive approach, and multitasking ability will be vital to our team's efficiency. What You’ll Do…

  • Prepare and process invoices in Workday, ensuring timely follow-up.
  • Compose correspondence and arrange courier services.
  • Proofread and format reports and client materials.
  • Create PowerPoint presentations and coordinate AV equipment.
  • Transcribe notes and voice messages.
  • Attend meetings, take minutes, and distribute them.
  • Maintain and update CRM database and generate reports.
  • Provide general administrative support (faxing, photocopying, scanning, filing, supplies).
  • Manage mail distribution.
  • Oversee office equipment and liaise with IT.
  • Organize schedules for senior leaders and manage calendars.
  • Coordinate meetings, facilities, and catering.
  • Assist with onboarding, conference registrations, and travel arrangements.
  • Handle expenses, budgets, and purchase orders.
  • Identify process improvements and assist with special projects.

You have…

  • A two-year diploma in Business or Office Administration (preferred) and 2-3 years of experience.
  • Proficiency in Microsoft 365 and Google Workspace; experience with Adobe Acrobat, cloud collaboration tools, and video conferencing.
  • Experience with CRM systems like Workday and Salesforce is a strong asset.
  • Strong mathematical skills and familiarity with accounting principles are beneficial.
