About the Role
The ICRF Toronto Donor Relations Manager reports to the CEO and will provide high-level administrative, operational, and logistical support to ensure the efficient functioning of the Toronto office. This individual will play a key role in event coordination, donor database management, communication with volunteers and board members, and assisting with fundraising initiatives. The ideal candidate is detail-oriented, proactive, and thrives in a mission-driven, fast-paced nonprofit environment. This role is based in Toronto and will be a hybrid of office and remote work.
Responsibilities
- Manage daily office operations, including scheduling, correspondence, and general inquiries.
- Support the CEO with meeting coordination, travel arrangements, and calendar management.
- Prepare and maintain board materials, meeting minutes, and reports.
- Maintain filing systems and organizational documents (digital and physical).
- Maintain accurate donor and event records in the CRM system, Donor Perfect.
- Process donations, issue tax receipts, and ensure data integrity.
- Generate donor reports and assist with stewardship and acknowledgment communications.
- Assist in the planning and execution of fundraising events, galas, and donor receptions.
- Manage event logistics, including vendor coordination, guest lists, invitations, and on-site support.
- Support donor and community communications, including newsletters, social media posts, and website updates.
- Liaise with volunteers, board members, and community partners.
- Assist in creating promotional materials and donor correspondence.
- Manage and implement tribute card program.
- Process invoices, reimbursements, and expense reports.
- Assist with budgeting and financial tracking.
- Liaise with the national office and external vendors as needed.
Qualifications
- Education: Bachelor’s degree in Nonprofit Management, Business Administration, Communications, or related field (or equivalent combination).
- Minimum 3–5 years of administrative or office management experience, preferably in a nonprofit or fundraising environment.
- Experience with donor databases (CRM systems) such as Donor Perfect, Raiser’s Edge or Salesforce.
- Proven track record in event coordination and logistics.
- Experience handling confidential donor information and working with senior leadership or boards.
Required Skills
- Exceptional organizational and multitasking skills with strong attention to detail.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Familiarity with Canva, Mailchimp, and social media management tools is an asset.
- Ability to work both independently and collaboratively in a team environment.
