Valard Group of Companies is seeking a skilled Document Controller to join our Transmission team in Calgary, AB. You will manage project document databases, ensure accurate metadata and filing, and support the DDM system across the project lifecycle.

Qualifications

  • 5 years of experience in managing project documentation in an engineering or construction environment.
  • Post-secondary education in a related field.
  • Working knowledge of various databases, including implementation, development, training and troubleshooting.

Responsibilities

  • Communicate with client contacts on DDM requirements.
  • Liaise with internal and external customers in a timely and professional manner.
  • Manage the client DDM system on behalf of Valard.
  • Ensure correct electronic format, metadata and filing of all project documents.
  • Distribute project documents efficiently and accurately.
  • Perform regular quality checks of project databases for accuracy.
  • Identify and report deficiencies in the DDM system, documents and procedures.
  • Assist the project team with DDM systems (access, training, troubleshooting).
  • Assist the project team in locating documents and related information.
  • Coordinate with helpdesks regarding DDM system issues.
  • Suggest improvements in processes and system functionality.
  • Create project information summaries, status updates and reports.

Description

Our Transmission group is currently looking to add a Document Controller to our growing team, based in Calgary, AB.

Reporting to the Director, Transmission Western Canada, we are seeking an experienced Document Controller who has proven knowledge and experience managing project document databases, including collecting, digitizating, classifying and loading critical project documents and fundamental project information into vaious systems, in an accurate and timely manner.

Duties and Responsibilities
  • Communicate with client contacts regarding document control and Digital Data Management (DDM) requirements
  • Liaise with both internal and external customers in a timely and professional manner
  • Manage the client DDM system on behalf of Valard
  • Ensure correct electronic format, metadata and filing of all project documents
  • Ensure project documents are transmitted and distributed correctly in an efficient manner
  • Perform regular quality checks of the project databases for accuracy
  • Identify and report any deficiencies in the DDM system, documents and procedures
  • Assist the project team with the DDM systems (access, training, troubleshooting)
  • Assist the project team in locating documents and/ or related information
  • Communicate with internal and external helpdesks pertaining to any DDM system issues
  • Offer suggestions for improvements in processes and system functionality
  • Create project information (summaries, status updates, reports, instructions) as requested
  • Administrative duties as needed to assist the project team
  • 5 years of experience in managing project documentation in an engineering or construction environment
  • Post-secondary education in a related field
  • Working knowledge of various databases, including implementation, development, training and troubleshooting
  • Highly proficient with the Microsoft Office suites of software
  • Highly proficient in data and document management systems
Preferred Skills / Qualifications
  • Specific experience with Aconex and SharePoint
