Position Overview
We are seeking a highly mature and organized Director for the Creative Project Management Office to join our team. This internal‑facing role ensures cross‑functional alignment and execution across strategy, business development, creative, and paid media teams. It is crucial to maintaining clear, on‑track, and collaborative internal operations for the Creative campaigns. Success requires strong project management fundamentals, high emotional intelligence, and effective communication with diverse team personalities. You’ll be the go‑to person for organizing creative project details, following up, and ensuring deadlines are met, without friction.
Responsibilities
- Develop and execute a forward‑thinking vision for the Creative PMO’s process integration from pre‑sales to execution, ensuring alignment with Viral Nation’s overarching business objectives and company OKRs.
- Drive a culture of continuous improvement and strategic execution.
- Oversee functions in the Creative PMO Roadmap that outline deliverables, milestones, and timelines for team members to achieve the overall PMO strategic goals.
- Actively offer solutions to problems in a proactive manner.
- Support CPMs operational cadences, such as Weekly Business Reviews and Monthly Financial Reports, with the CPM team.
- Provide insightful weekly and monthly updates to the leadership team on resource utilization, backlog trends, business integration success, and strategic initiatives to Senior Leadership.
- Ensure resource planning aligns with creative project scopes and timelines.
- Help define and enforce project management methodologies, tools, and best practices across the organization to ensure consistency, quality, and predictability of creative project delivery.
- Support Senior Leadership to implement robust enterprise‑wide risk management and organisational change management practices within the PMO to minimise disruption and maximise adoption of new processes and tools.
- Direct and manage the organisation’s strategic creative project portfolio, prioritising initiatives, managing resource allocation, and ensuring timely delivery and successful outcomes across departments.
- Oversee CPM team key reporting metrics, including backlog visibility, resource utilisation, and support pipeline forecasting, to provide actionable insights to leadership.
- Establish, monitor, and enforce Service Level Agreements (SLAs) and Standard Operating Procedures (SOPs) across pre‑sales & client services agency workflows to ensure accountability and high‑quality delivery.
- Oversee creative operational teams to continuously identify and implement opportunities to streamline processes, enhance efficiency, and deliver greater value to customers and the business.
- Serve as the primary liaison, engaging with other leadership members, presenting updates on operational initiatives, performance metrics, and strategic recommendations. Build consensus and support for key initiatives across the organisation.
- Provide leadership around RFP responses, scoping, and resource planning for new clients.
- Develop and manage project onboarding workflows to ensure seamless integration.
- Manage internal and external network of creative/production freelancers and partners.
- Align with VP, Operations for creative estimating, pricing, and budget adherence.
- Report on new creative business pipeline forecasting to PMO leadership.
- Lead post‑mortems on major creative projects to identify process improvements for resource optimisation.
- Create a new business onboarding scorecard to measure and report the success of project integration.
- Oversee and manage multiple creative project teams to ensure successful delivery of complex projects to completion.
- Other duties as assigned.
Cross‑Functional Integration
- Lead seamless collaboration and drive alignment across all departments with department leaders, including New Business, Client Services, COEs, Finance, and Marketing for the pre‑sales process.
- Facilitate cross‑functional collaboration sessions to proactively identify and resolve blockers, improve integration between teams within the PMO, and build consensus among leadership.
Team Leadership and Development
- Build and lead a high‑performing team, attracting, mentoring, and retaining top talent across project management functions.
- Foster a collaborative, innovative, and data‑driven culture within the team and across the organisation.
- Define and own key performance indicators (KPIs) as a team and independently measure the effectiveness of all PMO & Creative Project Manager‑specific initiatives. Conduct regular performance assessments and implement corrective actions as needed.
Skills and Qualifications
- 7‑10+ years in creative project coordination, operations, or agency roles (experience in influencer marketing, strategy, or business development is highly valued).
- Excellent organisational and multitasking skills.
- Strong communicator with high EQ and stakeholder management instincts.
- Proficient in project management platforms (e.g., Monday.com, Jira, Kantata).
- Experienced with Google Workspace tools (Docs, Sheets, Slides, Drive).
- Works well in a fast‑paced, detail‑oriented, collaborative environment.
