Job Description

The Coordinator – Projects and Operations position is hybrid, at the intersection of internal project coordination and operations support. The successful candidate will contribute to optimizing processes, structuring information, and ensuring project follow-up in a constantly evolving context.

This key role is based on collaboration with various stakeholders: management, project managers, external partners, and colleagues from other departments.

What you will accomplish with us

Internal Project Coordination

  • Ensure administrative management of projects, including tracking schedules and key project milestones (e.g., deliverables, kick-off meetings, phase progress, effort reviews and budget tracking, etc.).
  • Support resource planning (e.g., workload tracking, links between projects and availability).
  • Be the main point of contact for team members, management, and clients.

Administrative Operations and Optimization

  • Participate in current operations, notably: billing schedule, coordination with finance, data updates in our CRM (Dynamics 365).
  • Support document migration to SharePoint and ensure proper file structure.
  • Contribute to continuous improvement of internal processes: identify pain points, propose solution paths, document procedures.
  • Collaborate with the team in implementing innovative solutions (Power BI, automation, AI integration, or intelligent tools).
  • Draft service proposals, contractual agreements, and payment requests.
Qualifications
  • University degree in administration, project management, or related field.
  • Relevant experience of 2 to 5 years in coordination or operations management.
  • Experience in architecture, engineering, or construction is an asset.
  • Strong proficiency with Microsoft 365 suite (Outlook, Teams, Word, Excel, SharePoint, Planner).
  • Comfort with tools like Power BI, Dynamics 365, or Power Automate is an asset.
  • Ability to structure processes, create simple and effective tools, and facilitate collaboration between teams.
  • Initiative, rigour, and great attention to detail.
  • Team spirit and collaborative approach.
  • Strong adaptability: enjoy challenges and the unexpected and demonstrate solid ability to prioritize.
  • Ability to communicate clearly in writing and orally in English and in French as well.
