Position Summary

The Coordinator, Office & HR Support will provide administrative and human resources support to ensure smooth operations of our station in Ottawa (YOW). This role will be responsible for supporting HR functions, including recruitment, HRIS maintenance, applicant tracking system (ATS) management, and managing disciplinary files of the employees, and for other administrative functions. The ideal candidate is detail‑oriented, organized, and able to balance office and HR responsibilities.

Key Responsibilities
Human Resources Support
  • Coordinate end‑to‑end recruitment process (job postings, interview scheduling, reference checks, onboarding).
  • Maintain and update employee data in HRIS and ATS systems.
  • Assist with the preparation of offer letters, contracts, and onboarding documents.
  • Provide administrative support on employee relations, payroll updates, and compliance requirements.
  • Act as a liaison with corporate HR for hiring needs.
  • Act as a liaison with the third‑party provider for disability management.
  • Assist with the preparation of disciplinary letters (safety, attendance, …).
General Office Administration
  • Provide day‑to‑day administrative support to the management team.
  • Support the implementation of company policies, procedures, and standards.
  • Maintain employee records and ensure the confidentiality of sensitive information.
  • Assist in preparing reports, presentations, and communications.
Qualifications & Skills
  • Post‑secondary education in Business Administration, Human Resources, or a related field.
  • 2‑4 years of experience in administration, HR, or support roles.
  • Knowledge of HRIS and ATS platforms (Dayforce experience is an asset).
  • Strong organizational and multitasking skills, with excellent attention to detail.
  • Proficient in Microsoft Office Suite (Excel, Outlook, Word, PowerPoint).
  • Strong interpersonal and communication skills (written and verbal).
  • Ability to work independently and always maintain confidentiality.
