Position Description:

The Coordinator, Marketing and Communications plays an essential role in supporting Northwest’s leasing and marketing activities across Canada. Reporting to the Senior Leasing Manager, this role is responsible for maintaining property listings and marketing materials, coordinating signage and vendor requests, managing online platforms, and assisting with various communications and digital projects.

We’re looking for someone who is organized, proactive, and detail-oriented, with excellent communication skills and a collaborative mindset. The ideal candidate enjoys balancing administrative precision with creative problem-solving and takes pride in maintaining consistency and quality across all marketing channels.

This is an excellent opportunity in real estate marketing within a global organization. The role offers exposure to digital platforms, vendor coordination, and brand management, while supporting initiatives that help position Northwest’s properties effectively in the marketplace.

Key Responsibilities:
  • Collaborate on the conceptualization, development, and execution of creative campaigns in support of leasing, asset management, and other initiatives
  • Collaborate with members of the leasing team to develop and execute leasing marketing initiatives ensuring collateral, budgets, campaigns, and marketing channels align with leasing objectives and the national marketing strategy
  • Serve as the dedicated, single point of contact for the leasing team to coordinate leasing marketing and lead management initiatives
  • Qualify income leads to determine suitability based on proposed tenant use, building exclusivities, space requirements, enhancement of building ecosystems, etc.
  • Manage the lead pipeline beginning with the initial inquiry, input new leads into the leasing platform, implement lead nurturing strategies, and coordinate with the leasing team to identify and prioritize strong prospects
  • Coordinate the creation and execution of lead nurturing initiatives for prospects, including email campaigns, cold lead re‑engagement campaigns, etc.
  • Oversee the production and maintenance of standard tour packages and related leasing marketing collateral, ensuring brand consistency across all platforms
  • Coordinate with leasing teams to plan, coordinate, and promote building campaigns and events in support of prospecting and tenant engagement initiatives e.g., property tours, educational campaigns, broker events, etc.
  • Coordinate with members of the leasing team to support the creation and implementation of competitive building analyses, assisting in obtaining market research, competitor data, building tenancy profiles, etc.
  • Assess and report on the quality and effectiveness of marketing materials and initiatives based on quantitative data (e.g., volume and quality of leads) and qualitative data (e.g., leasing manager feedback, prospect feedback, etc.)
  • Compile, analyze, and generate reports on the success of lead generation and conversion initiatives on an ongoing basis
  • Conduct analysis of the performance and ROI of marketing campaigns and third‑party leasing marketing platforms
  • Assist to plan, create, and execute on a social media strategy, including management of a social media content calendar
  • Assist with the creation and execution of communications strategies and initiatives and as required, including the active and regular maintenance of contact/distribution lists
  • Plan, coordinate, and assist with the execution of Northwest’s participation at promotional events, including industry conferences and tradeshows, in alignment with corporate brand strategy and portfolio marketing plans
  • Observe competitors’ marketing campaigns, techniques, and strategy and keep up to date with marketing trends to ensure Northwest’s marketing strategies align with industry best practices
Required Qualifications, Skills and Experience:
  • Post‑secondary degree or diploma in marketing, communications, journalism, or similar, or equivalent work experience in a related field (e.g., leasing, brokerage, marketing, communications)
  • Understanding of the commercial real‑estate industry and the latest trends and best practices in leasing marketing
  • Working knowledge of current digital marketing tools and techniques
  • Excellent communication and presentation skills, with a focus on effective storytelling
  • Experience working with lease management and/or CRM software (VTS and Hubspot preferred)
  • Proactive, creative, and responsive; a strong driver of process to ensure completion of key responsibilities
  • Meticulous attention to detail, strong organizational skills, and ability to prioritize effectively in a fast‑paced work environment
