Position Profile

The Coordinator, HardTech Investor Network and Capital Programs will report to the Head of HardTech Investor Network and Capital Programs and support the day-to-day delivery of ventureLAB’s investor and capital readiness activities. This role keeps everything running smoothly, arranging meetings, updating databases, coordinating events, and following up with investors and founders.

The ideal candidate is organized, resourceful, and quick to take initiative. You enjoy problem-solving, staying on top of details, and helping the team turn plans into action.

Responsibilities

Program Coordination & Daily Support

  • Coordinate the scheduling, setup, and preparation of investor and founder meetings.
  • Arrange logistics for calls, briefings, and workshops, ensuring materials and notes are ready.
  • Track action items and deadlines, ensuring follow-ups are completed.
  • Prepare, format, and circulate agendas, meeting notes, and summaries.
  • Support onboarding of new investors and startups by arranging introductions and maintaining accurate records.

Investor and Founder Engagement

  • Keep CRM systems (e.g., HubSpot, Salesforce) updated with investor and founder details, notes, and status.
  • Send invitations, reminders, and thank‑you messages to participants in events or meetings.
  • Collect and organize feedback or next steps from investor interactions.
  • Help prepare presentation decks and briefing packages for investor and founder sessions.

Event & Logistics Coordination

  • Assist with planning and arranging logistics for investor days, pitch sessions, and demo events.
  • Handle event tools and registrations (Eventbrite, Zoom, etc.).
  • Support day‑of‑event activities, sign‑ins, timing, technical setup, and follow‑ups.
  • Liaise with marketing and communications for event announcements, photos, and recaps.

Data Entry & Reporting

  • Enter and maintain data on investor activity, founder participation, and funding outcomes.
  • Support preparation of progress reports, dashboards, and funding partner updates.
  • Help ensure all information is accurate, complete, and properly filed.

Internal Collaboration & Communication

  • Coordinate calendars and information flow between the Capital Programs, Partnerships, and Marketing teams.
  • Draft short internal updates, event summaries, or templates for newsletters.
  • Assist in organizing shared folders, documentation, and templates for team use.
Qualifications & Skills

Required:

  • Postsecondary education in Business, Marketing, Innovation, or a related field.
  • 1–3 years of experience in coordination, administration, or event support.
  • Excellent organizational skills with attention to accuracy and detail.
  • Strong written and verbal communication skills.
  • Comfortable using CRM tools (e.g., HubSpot, Salesforce), spreadsheets, and Google Workspace.
  • Flexible, proactive, and eager to learn in a collaborative, fast‑moving environment.

Nice to have:

  • Experience in a startup, accelerator, or innovation hub.
  • Familiarity with investor relations or early‑stage funding.
  • Experience coordinating events (virtual or in‑person).
  • Interest in hardware, deeptech, or entrepreneurship.
Salary Range

$60,000 to $65,000CAD per annum

Our Hybrid Work Structure

At ventureLAB, we have a hybrid work model that balances flexibility for employees with opportunities for in‑office collaboration. This position is eligible for remote work. All ventureLAB team members, regardless of hybrid status, are required on‑site each Thursday and for events, meetings and other in‑person activities.
