Wilder Institute is seeking a Development Coordinator in Calgary to provide essential administrative support to the Chief Development & External Relations Officer and the Director of Development. Responsibilities

  • Coordinate meetings and manage team admin tasks.
  • Order office supplies and donor materials; support special projects.
  • Oversee development volunteers and onboarding for new staff.
  • Provide internal communications such as the department newsletter.
  • Support the CDEO and DOD with calendar management, travel, and donor hosting logistics.
  • Assist with moves management and Tessitura record-keeping when needed.

Job description

Join our team at the Wilder Institute’s Calgary Zoo and provide support for critical functions within the Development team! Our team is seeking a permanent full-time Coorinator, Development whose responsibilities will include administrative support to the Chief Development & External Relations Officer (CDEO) and Director of Development (DOD), and handling of department administrative needs.

The Development Coordinator needs to maintain a high level of confidentiality, dependability, accuracy and attention to detail.

What you will do:
Team Administration (approx. 30%)
  • Coordination of meetings including team meetings, department meetings, special training sessions, and team planning meetings
  • Ordering of office supplies, donor materials, and equipment as needed
  • Coordination and delivery of tasks for special projects – mailings, event support, team scheduling for activities
  • Oversee and provide guidance to development volunteers to help deliver department administrative projects
  • Coordination of onboarding for new staff
  • Coordination of team building activities including research, providing recommendations and organization of activities
  • Become trained in key service delivery areas of Development in order to support key events, activities, or to provide coverage when needed
  • Provide relationship management support as needed
  • Develop and distribute the Development department's internal newsletter
  • Coordinate and process internal and external requests for existing assets which may include tickets or merchandise exchanges with other departments or partner organizations
Support the Chief Development & External Relations Officer/Director of Development: (70%)
  • Deliver effective and efficient administrative services to support the CDEO and DOD
  • Supporting and organizing tasks, meetings, and special projects for the CDEO and DOD as needed
  • Supporting moves management needs for the CDEO and DOD including booking of meetings, coordinating donor hosting logistics, and follow up record keeping in the Tessitura database
  • On occasion provide assistance on special projects to the Executive Assistant to the President and CEO on an as-needed basis
Other duties and responsibilities as assigned.
What you will bring:
  • Completion of a high school diploma or equivalent education is required
  • At least 2 years of experience in administration or related work is required.
  • Experience working with charities and fundraising teams
  • A certificate in administration or other relevant fields is an asset
  • Good understanding of the fund development process, as demonstrated by foundational familiarity with fundraising practices
  • Excellent written and oral communication skills with the ability to engage internal and external audiences effectively and as needed by the situation.
  • Excellent attention to detail to support coordination of tasks and projects for the development team.
  • Has established a pattern of working independently, meeting reasonable deadlines, and accepting responsibility for their own actions.
  • Aligns with and takes action to maintain high standard of confidentiality of donor and internal information
  • Adjusts quickly and effectively to changing conditions and demands
  • Looks for new and productive ways to make an impact, particularly when it comes to generating new ideas or processes as well as resolving problems as they occur
  • Is an effective team player who adds complementary skills and contributes valuable ideas, opinions and feedback
  • Strong knowledge in a variety of computer programs including Microsoft Office Suite
  • Strong interpersonal skills, including the ability to communicate professionally, effectively and discreetly with colleagues, donors, volunteers and other zoo staff.
  • Working knowledge of donor databases is an asset
  • Working knowledge of financial processes is an asset
Working Conditions:
  • Mostly desk work, some on-grounds mobility is required.
  • Although primarily Monday to Friday, occasional evening and weekend work is required.
  • Working collaboratively in an open concept office space; may have opportunity to work from home with approval from DOD.
  • Access to reliable source of transportation is required.
