Job summary

MineSpec Resources seeks a Contracts Administrator to support owner-side commercial activities on major mining construction projects across Canada. The role covers day-to-day administration of contracts, from pre-award through execution, changes, claims, and closeout.

You will work with Construction Management, Project Controls, Engineering, Supply Chain, Finance, Legal, and contractors to ensure contract requirements are understood and followed in a fast-paced site environment.

Qualifications

Responsibilities

(Mining Construction - Owner's Team)

Compensation: Estimated annual compensation of $160,000 - $180,000, based on experience, qualifications, and project assignment

Project Location: Western Canada - remote mining locations (FIFO / rotational)

Potential Candidate Location: All of Canada

Rotation: 2 weeks on / 2 weeks off

Start: As soon as available (project-dependent)

Position Overview

The Contracts Administrator will support MineSpec clients as an owner-side commercial and contracts resource on major mining construction projects. The role is responsible for the day-to-day administration of assigned construction and service contracts, with involvement spanning pre-award contracting activities through execution, change management, claims, payment administration, contractor performance management, and final closeout.

The successful candidate will work closely with Construction Management, Project Controls, Engineering, Supply Chain, Finance, Legal, and contractor representatives to ensure contract requirements are understood, documented, and administered consistently. The role requires strong construction contract knowledge, commercial judgment, disciplined record keeping, and the ability to manage contractual issues directly with contractors in a fast-paced site environment.

Key Responsibilities

• Administer assigned construction, engineering, supply, and service contracts on behalf of the Mine Owner from pre-award through contract closeout.
• Support contracting activities including scope confirmation, bidder prequalification, RFP/ITT preparation, tender evaluation, negotiations, recommendation to award, and contract execution.
• Serve as a key commercial and contractual interface with contractors, maintaining a strong understanding of contract scope, commercial terms, compensation structure, risk allocation, and contractor obligations.
• Manage contract correspondence, notices, instructions, changes, variations, amendments, and supporting records, ensuring contractual requirements and timelines are met.
• Review contractor change proposals, claims, progress payments, and invoices for entitlement, cost, schedule impact, and contractual compliance, supporting negotiations and issue resolution as required.
• Monitor contractor performance and compliance with contractual requirements, including deliverables, reporting, mobilization, insurance, bonding, documentation, KPIs, deficiencies, and corrective actions.
• Work closely with Construction Management and Project Controls to manage field direction, contract commitments, forecast impacts, expenditures, changes, and commercial exposure.
• Provide practical contract interpretation and support contractor mobilization, handover, final account reconciliation, releases, warranty requirements, and contract closeout, escalating
• significant commercial or legal issues where required.

Typical Contract Packages Supported

• Heavy civil and earthworks, including site development, roads, water management, dams, tailings and associated infrastructure
• Underground mine development and infrastructure, including shaft sinking, raise boring, ground support, ventilation, and materials handling
• Industrial buildings, process facilities, crushers, mills, pump stations, and mine support infrastructure
• Concrete, structural steel, mechanical, piping, electrical, instrumentation, and multidisciplinary construction packages
• Construction services, equipment, specialty contractors, and other project support agreements

Qualifications & Experience

• 2+ years in contract administration, commercial management, project controls, or procurement, preferably on major mining, industrial, or infrastructure projects.
• Practical knowledge of construction contract terms, risk allocation, and structures such as lump sum, unit rate, reimbursable, T&M, and target price.
• Post-award experience in contract administration, changes, payment certification, claims, negotiations, and closeout.
• Pre-award experience with RFP/ITT preparation, bid evaluation, clarifications, negotiations, and award recommendations preferred.
• Knowledge of notice requirements, entitlement, change records, cost substantiation, schedule impacts, and claims documentation.
• Strong written communication, particularly contractual correspondence, notices, recommendations, and commercial documents.
• Experience with SAP, Ariba, Aconex, Contruent, Fieldglass, or similar systems is an asset.
• Relevant post-secondary education preferred; equivalent progressive construction and contract experience considered.
• Valid driver's licence and ability to travel to remote sites on rotation.

Work Arrangement & Travel

This position is primarily site-based and will be assigned to remote mining projects in Western

Canada. The typical work arrangement is:

• 2 weeks on / 2 weeks off rotational schedule
• Typically 12-hour workdays while on site, depending on project requirements
• Fly-in / fly-out travel to remote mine sites
• Project accommodation and meals provided while on site
• Remote and challenging field environments typical of major mining construction projects

All project-related travel costs are covered by MineSpec, including flights, accommodations, meals, and required ground transportation. Travel-day compensation will be provided in

accordance with the applicable project assignment and client arrangements.
