Full Time Support Group Staff

Atlantic, Ontario, or Manitoba – CA (Work from home)

Pinchin is recruiting for a Compliance Specialist to join the Finance & Administration department in Canada. We are looking for a highly organized individual to join on a full-time basis. This position can be based out of Atlantic, Ontario, or Manitoba on a remote or hybrid basis. The Compliance Specialist will provide back-up support to our Security Clearances team and additional ad‑hoc duties as required.

A Day in the Life of a Compliance Specialist at Pinchin
Vendor Onboarding
  • Responds to all requests for vendor onboarding and evaluates vendor submissions to ensure they meet Pinchin’s requirements.
  • Enter vendor setups in the operating system (Vision) and ensure accuracy of details and keep detailed records in an organized manner.
  • Liaison with Accounts Payable during payment cycles.
  • Follow guidelines and know when to seek exception reviews from our risk team; correspond with executive level employees on a regular basis.
  • Track WSIB and WCB for all vendors with each province’s online database and update Vision for vendors out of compliance.
  • Analyze and verify consistency, completeness, and accuracy of vendor and insurance data.
Client Onboarding
  • Ensures all client requests are handled accurately and efficiently with acceptable turnaround times.
  • Acts as the point of contact and compiles information to complete annual pre‑qualification documentation for clients.
  • Interacts with potential clients for information required to set up clients in SharePoint (Client Grove) and Vision.
  • Reviews client‑provided information against Pinchin’s established client engagement criteria, for example retainer policies.
  • Maintains the ‘Client Grove’ (SharePoint client database).
  • Proactively identifies opportunities to enhance, streamline and automate the client engagement process.
  • Liaises with Accounts Payable, Safety, IT, Security and other departments as needed to gather information to complete client documents.
  • Responds to client requests in a professional and timely manner.
Insurance
  • Understands RFP/Tender documents and prepares insurance certificates in accordance with the requirements requested for Pinchin clients. Liaises with our Insurance Broker for complex requests.
  • Prepares WSIB and WCB clearance letters upon request.
Security Clearances
  • When required, assists the Security Clearances Team with the maintenance of employee and organization security clearances and provides efficient support to ensure compliance with Company, Government and Client security requirements.
What You Bring To The Pinchin Team
  • Good understanding of Insurance and risk mitigation and/or strong problem‑solving skills with the ability to learn and understand insurance.
  • Demonstrates good judgement and critical thinking when investigating and solving problems.
  • Works independently with acceptable supervision.
  • Excellent interpersonal skills.
  • Post‑secondary education with a minimum of 5 years’ experience in administration is preferred.
  • Working knowledge of the Office suite of products is required.
  • Ability to obtain PWGSC Secret (Level II) Security Clearance. Must NOT have a Criminal Record and must have resided in Canada for the last 5 years (at minimum), with no stays in foreign countries exceeding 6 months during those 5 years.
  • Must complete and maintain certification in the PSPC Controlled Goods Designated Official Certification Program.
  • Maintains confidentiality and a professional manner.
