Job summary

The Mustard Seed Street Church is seeking a Community Organization Coordinator in Esquimalt to strengthen Food Share Network relationships and manage onboarding, scheduling, and data for food resources.

You will work with the Food Security Manager and warehouse team to ensure smooth distribution centre operations and clear communication with partner organizations.

Qualifications

• 2-3 years of experience in community services, nonprofit programming, coordination, local food systems, or a related field.
• Assets: experience in food security or community programs; Standard First Aid/CPR-C; Food Safe;
• Driver's license and acceptable abstract.
• Availability over the Christmas season

Responsibilities

• Serve as the primary day-to-day contact for participating community organizations.
• Maintain regular communication regarding schedules, program expectations, available resources, operational changes, and routine requests.
• Build respectful, consistent relationships and identify recurring needs, concerns, or service gaps for discussion with the Food Security Manager.
• Coordinate onboarding of new organizations, annual agreements, renewals, contact information, and participation records.
• Oversee regular pickup schedules, closures, surplus opportunities, and special requests in collaboration with the Food Security Manager and warehouse team.
• Support organizations in understanding Distribution Centre procedures, warehouse etiquette, food rescue expectations, and relevant food-safety considerations.
• Maintain an organized wait list and clear communication with organizations seeking future access.
• Maintain accurate organization records and support collection of program information used for planning, reporting, grants, and evaluation.
• Work with the Food Security Manager, Warehouse & Data Coordinator, and Development Team to share accurate program data, context, trends, and relevant story leads.
• Support surveys, feedback processes, meetings, tours, and regional initiatives as assigned.
• Collaborate with Development and other MSSC departments when partnerships, events, donations, or external relationships overlap.

Organizational Overview

Since 1975 The Mustard Seed Street Church has been essential in fighting hunger and restoring faith to our community in Greater Victoria. Our operations are nearly 100 percent community funded and include Vancouver Island's largest and most accessible Food Bank; daily meals, coffee, and snacks; Hospitality programs; and a Food Security Distribution Centre. We offer church services and community building faith-based programming, as well as pastoral care for those seeking a place to belong and grow spiritually. Through these core programs we assist over 5,000 people each month with the help of more than 50 daily volunteers and many generous financial supporters!

Position Overview

The Community Organization Coordinator supports strong, consistent relationships with community organizations across the Capital Region District accessing food through the Food Security Distribution Centre in Esquimalt. The role is the primary day-to-day contact for participating Food Share Network member organizations and combines relationship coordination, administration, data sharing with regular operational warehouse floor support during community organization pickups.

Working closely with the Food Security Manager and broader Food Security Team, this position helps ensure organizations receive clear and consistent information, fair and respectful service, and appropriate access to available food resources while supporting smooth Distribution Centre operations.

Key Responsibilities

Community Organization Relationships

• Serve as the primary day-to-day contact for participating community organizations.
• Maintain regular communication regarding schedules, program expectations, available resources, operational changes, and routine requests.
• Build respectful, consistent relationships and identify recurring needs, concerns, or service gaps for discussion with the Food Security Manager.
• Support fair and consistent access across organizations while recognizing available food supply and operational capacity.

Onboarding, Renewals & Program Coordination

• Coordinate onboarding of new organizations, annual agreements, renewals, contact information, and participation records.
• Oversee regular pickup schedules, closures, surplus opportunities, and special requests in collaboration with the Food Security Manager and warehouse team.
• Support organizations in understanding Distribution Centre procedures, warehouse etiquette, food rescue expectations, and relevant food-safety considerations.
• Maintain an organized wait list and clear communication with organizations seeking future access.

Operational Warehouse Support

• Maintain a regular presence and act as a lead on the warehouse floor serving community organization pickups.
• Support the preparation and serving of weekly food allotments, including welcoming organization representatives, preparing orders, moving product, and supporting efficient pickups.
• Work with the Food Security Manager, Warehouse & Data Coordinator, and Programming Coordinator to translate community-organization needs into practical warehouse operations.
• Use direct floor experience to identify operational improvements while following warehouse safety practices and training requirements.

Data, Knowledge Sharing & Development Support

• Maintain accurate organization records and support collection of program information used for planning, reporting, grants, and evaluation.
• Work with the Food Security Manager, Warehouse & Data Coordinator, and Development Team to share accurate program data, context, trends, and relevant story leads.
• Help identify community initiatives, partnerships, and program stories that may be appropriate for external sharing.
• Provide Development with accurate program knowledge and context; Development remains responsible for external communications, social media, donor storytelling, consent processes, public-facing messaging, and final rollout.

Internal & Regional Coordination

• Support communication and coordination across the Capital Region Food Share Network and participating organizations.
• Work with Food Security staff when transportation, food availability, kitchen use, volunteers, or warehouse capacity affect community organizations.
• Support surveys, feedback processes, meetings, tours, and regional initiatives as assigned.
• Collaborate with Development and other Mustard Seed departments when partnerships, events, donations, or external relationships overlap.

General

• Attend relevant staff meetings and training opportunities.
• Support Food Security and Mustard Seed events as required.
• Maintain appropriate confidentiality, professional boundaries, and dignity-focused communication.
• Participate in annual employee and program evaluation processes.

Qualifications

• 2-3 years of experience in community services, nonprofit programming, coordination, local food systems, or a related field.
• Strong computer skills, including Microsoft Office, spreadsheets, databases, email, and data-entry/project-management software.
• Assets: experience in food security or community programs; Standard First Aid/CPR-C; Food Safe;
• Driver's license and acceptable abstract.
• This position must have availability over the Christmas season

Terms of Employment

• Must be willing to sign the staff Code of Conduct
• Must be willing to read, agree and sign the MSSC HR Manual
• This position reports to: Food Security Manager
• Term: 6 month Seasonal Support Role (contract)
• Hours: 30-37.5 hours per week, Monday to Friday (various start times), occasional Saturday or event coverage
• The MSSC follows BC Employment Standards
• Must provide an acceptable vulnerable sector Criminal Record Check
• The expected starting wage for this position is $23.50-25.50/hour, depending on qualifications and relevant experience. The full wage range for this position is $23.50–$28.50/hour. Employees progress through the wage range based on performance, experience and organizational wage progression practices. The wage ranges are revisited annually.
