Job description
Position Summary

The Community Centre Assistant will be responsible for the effective supervision of the part-time administrative and customer service staff within the community centre, arena and pool facilities. Functions will include coordinating absences, resolving issues and improving customer service. The Community Centre Assistant will assist in the delivery of part-time staff training, part-time staff payroll and preparing performance appraisals for all part-time reception staff, skate cashiers and birthday party hosts, in addition to regular site visits to assist with service delivery.

Key Duties and Responsibilities

STAFFING

  • Provide supervision for weekend and evening part-time administration staff working within community centre, arena and pool facilities by coordinating staff schedules and absences, resolving issues and improving customer service.
  • Attend weekend birthday party booking rentals to provide staff support to party permit holders and to liaise with groups on site.
  • Organize and perform regular evening and weekend visits of City-operated facilities during Recreation and Culture programs, public skates and birthday party package rentals.
  • Provide backup staff coverage and if necessary work the scheduled shift until a suitable replacement can be secured.
  • Provide ongoing communication to administrative staff, including updates to policies and procedures.
  • Assist with conducting interviews, hiring, and recommend discipline of part time staff.

TRAINING

  • Assist in the delivery of part-time staff training, part-time staff payroll and preparing performance appraisals for all part-time reception staff, skate cashiers and birthday party hosts.
  • Assist part-time staff with the ActiveNet System for program registration, facility booking, point of sale purchases and membership sales during evenings and weekends and during times of higher volume to maintain a consistent level of service during all hours of operation.
  • Provide ongoing communication to administrative staff, including updates to policies and procedures.
  • Provides hands on support to administrative staff when and where required.
  • Performs any other duties required to ensure administrative staff complements and responsibilities at all recreation facilities are maintained and followed.

ADMINISTRATION

  • Complete bi-weekly payroll for part-time administrative staff.
  • Respond to enquiries from user groups, staff and general public in a professional and courteous manner.
  • Work cooperatively with the Coordinator of Community Centre Services to ensure a well-balanced service to the community and Recreation and Culture staff team.
  • Perform all administrative functions as required and in accordance with City policies and procedures.
  • Attend all meetings as requested.
  • Perform other related duties as assigned that are in accordance with job responsibilities and/or necessary to meet departmental objectives.
Education and Experience
  • High School Diploma
  • Standard First Aid and C.P.R. Certificate
  • Additional courses in Office Administration, Secretarial Studies or related discipline
  • 1 year related administrative experience

  • Must be willing and able to transport yourself to City work sites as required (mileage compensated).
  • Must have a solid understanding of departmental cash handling procedures.
  • Must have a solid understanding of corporate policies and procedures and payment processing procedures including PCI standards.
  • On-call/standby evenings and weekends may be required – must be available to work flexible shifts including evenings and weekends when required.
