Job Summary
This position supports the School of Engineering by coordinating and executing communications projects and initiatives. This role is responsible for producing visual identities, publications, story content, and other communications materials. The position requires strong writing, design, publishing, videography, photography, and editing skills to ensure high standards and accuracy across print and web-based media.
Organizational Status
This position reports to the Manager of Administration and the Communications Manager, and works closely with the School of Engineering (SoE) Leadership and Management to meet the school's communications needs. It interacts with faculty, staff, students, and communications colleagues at the Faculty of Applied Science Dean’s Office (UBC Vancouver) and UBC Okanagan University Relations.
Work Performed
Communications Coordination
- Coordinates the creation and delivery of communications materials to support events, workshops, and engagement initiatives.
- Assists in developing materials to support industry and donor engagement.
- Manages project timelines and deliverables, coordinating with content providers, editors, designers, and external services.
- Evaluates media and format requirements and provides recommendations.
Website & Social Media
- Maintains and updates website and social media content in alignment with School of Engineering goals.
- Implements web and social media communication plans.
- Collaborates with University Relations on web technologies and digital communications.
- Ensures content is relevant, current, and accurate by working with staff and faculty.
Recognition & Awards
- Supports recognition efforts by preparing materials that highlight faculty, staff, and student accomplishments.
- Liaises with internal and external award agencies.
- Researches and interviews individuals to prepare biographical content for promotional use.
Media Relations
- Prepares press releases and publicity materials in collaboration with University Relations.
- Coordinates announcements and promotions of major honours and distinctions.
Writing & Editing
- Writes, edits, and produces content for websites, brochures, media releases, and promotional materials.
- Reviews and fact-checks copy to ensure accuracy and adherence to style guides.
General Communications Support
- Designs presentations for use by the Executive Associate Dean.
- Provides photography and video services.
- Manages photo and video archives.
- Stays current with communications best practices.
Project Management
- Coordinates timelines, deliverables, and resources for communications-related projects.
- Tracks progress and ensures deadlines are met across multiple concurrent projects.
- Maintains documentation and reporting for project milestones and outcomes.
- Collaborates with internal and external stakeholders to ensure project alignment.
- Identifies risks and implements mitigation strategies to keep projects on track.
- Supports budget tracking and resource allocation for communications initiatives.
Event Planning and Coordination
- Plans and executes events that support communications goals, including workshops and public engagements.
- Coordinates logistics such as venue booking, catering, and technical support.
- Develops promotional materials and manages event communications.
- Works with faculty and staff to ensure event content aligns with School objectives.
- Manages registration, attendance tracking, and post-event evaluations.
- Liaises with vendors and service providers to ensure quality and timely delivery.
Consequence of Error/Judgement
This role requires independent work and sound judgment. Errors in communication materials may negatively impact the School’s reputation, recruitment, fundraising, and public perception. Accuracy and professionalism are essential.
Supervision Received
Works independently under the direction of the Manager, Administration and the Communication Manager and receives project-specific guidance from Leadership and Management Team.

Qualifications
Minimum
- Undergraduate degree in communications, marketing, public relations, or a related field.
- Minimum of four years of experience or an equivalent combination of education and experience.
- Willingness to respect diverse perspectives, including perspectives in conflict with one’s own.
- Demonstrates a commitment to enhancing one’s own awareness, knowledge, and skills related to equity, diversity, and inclusion.
Preferred
- Experience coordinating communications projects across print and digital platforms.
- Strong writing, editing, and verbal communication skills.
- Familiarity with social media tools and strategies.
- Experience in a post-secondary setting is an asset.
- Ability to collaborate effectively and manage multiple projects under tight deadlines.
- Proficiency in Adobe Creative Suite and MS Office.
- Graphic design, photography, and videography experience preferred.
- Knowledge of UBC Okanagan and the Kelowna region is an asset.
