Job summary

POSITION SUMMARY:

Reporting to the Manager of Quality Improvement, Communications, and Fund Development, the Communications and Fund Development Coordinator supports the planning, coordination and implementation of the organization's communications, marketing and fund development activities. This position plays a key role in increasing community awareness, strengthening donor and partner relationships, supporting fundraising initiatives, coordinating events, and promoting the mission, vision and values of CMHA Huron Perth Addiction and Mental Health Services.

Working collaboratively with staff across the organization, the Communications and Fund Development Coordinator develops engaging communications, assists with grant development, donor stewardship and fundraising campaigns, coordinates community engagement initiatives, and supports the organization's digital presence. The position requires a highly organized, creative and collaborative individual who is passionate about community impact and committed to advancing mental health and addiction services throughout Huron and Perth Counties.

The location of these services will vary throughout Huron and Perth Counties and surrounding areas and services are delivered in-person, by phone, and virtually based on organizational need.

ORGANIZATIONAL DUTIES AND RESPONSIBILITIES:

KEY POSITION RESPONSIBILITIES AND DUTIES:
Communications and Marketing
  • Coordinate the implementation of the organization's communications and marketing initiatives.
  • Contribute to the development of engaging content for social media, the website, newsletters, blogs, annual reports, presentations and other communication materials.
  • Assist with the creation and execution of digital communication campaigns that increase awareness, engagement and support for the organization.
  • Maintain and update website content to ensure information is accurate, current and accessible.
  • Coordinate internal communications including staff announcements, newsletters and organizational messaging.
  • Assist with media relations by preparing media releases, media kits and promotional materials.
  • Support brand consistency by ensuring all communications align with organizational branding standards.
  • Collect stories, photographs and impact data from programs while ensuring confidentiality and informed consent.
  • Monitor communications performance and prepare reports on website, social media and campaign analytics, making recommendations for continuous improvement.
  • Monitor and maintain the organization’s online presence, including Google Business Profile, LinkedIn, and other community directories.
Fund Development
  • Support the planning and implementation of the organization's annual fund development strategy.
  • Assist in researching, preparing and coordinating grant applications and their reporting requirements in collaboration with program staff.
  • Maintain a comprehensive grant calendar including deadlines, reporting requirements and funding opportunities.
  • Assist with donor cultivation, stewardship and recognition activities.
  • Maintain accurate donor records within the donor database and ensure timely acknowledgements and charitable receipting.
  • Support donor acquisition, retention and monthly giving initiatives.
  • Assist in the development of sponsorship opportunities and corporate partnerships.
  • Coordinate memorial giving initiatives and relationships with community partners.
  • Prepare donor communications, impact reports and stewardship materials.
Community Engagement & Events
  • Alongside internal committees help coordinate fundraising events, awareness campaigns and community engagement initiatives.
  • Support third-party fundraising events by providing promotional materials, guidance and logistical assistance.
  • Represent the organization at community events, meetings and outreach opportunities.
  • Build and maintain positive relationships with community organizations, businesses, service clubs, media partners and volunteers.
  • Assist with volunteer recruitment, onboarding, recognition and communication as assigned.
Administrative
  • Maintain communications calendars, fundraising calendars and project timelines.
  • Assist with budget tracking related to communications and fundraising initiatives.
  • Maintain accurate records, reports and statistics related to communications, fundraising and events.
  • Coordinate inventory of promotional materials and branded merchandise.
  • Utilize donor management systems, Microsoft 365, website platforms and other organizational software to support departmental activities.
General
  • Participate on internal agency committees and/or outside community committees as appropriate.
  • Adhere to policies and protocols as outlined in the Human Resource and Procedure Manual.
  • Attend and actively participate in any team and staff meetings, the Annual General Meeting, and periodically scheduled strategic planning, team building and agency events
  • Assist with the orientation and training of new agency staff, volunteers and interns/students as designated and need.
  • Provide coverage of CMHAHP AMHS services for other team members as needed.
  • Help ensure the organization and department objectives are met.
  • Work harmoniously with colleagues, including not behaving in ways that are likely to be offensive in any manner to others and confronting such behaviours by others.
  • Conduct self in a responsible, professional manner.
  • Perform other duties that may be assigned from time to time.
EDUCATION:

College diploma or university degree in Communications, Public Relations, Marketing, Fundraising, Business Administration, Journalism or a related discipline.

EXPERIENCE:

Minimum three (3) years of recent and relevant experience in communications, marketing, fundraising or public relations, preferably within the non-profit or healthcare sector. Experience with grant writing, donor stewardship, event coordination and digital communications is preferred.

KNOWLEDGE AND SKILLS:

Excellent written, editing and verbal communication skills with the ability to develop compelling communications for a variety of audiences and platforms. Demonstrated knowledge of communications planning, fundraising principles, grant writing, donor stewardship and relationship management. Experience managing websites, particularly WordPress, social media platforms, email marketing and content management systems. Proficiency with Microsoft 365 and graphic design software, including Canva, Adobe Photoshop and Adobe Premiere Pro. Experience with donor management software, particularly DonorPerfect, is considered an asset. Strong organizational, project management and time management skills, with the ability to manage multiple priorities, meet deadlines and adapt to changing demands. Demonstrated attention to detail, creativity, sound judgment and a commitment to producing high-quality work.
