Job summary

Music BC Industry Association is seeking a part-time Communications & Administration Specialist to support communications, administration and day-to-day activities in Vancouver, BC. The role reports to the Programs & Operations Manager and collaborates with the Executive Director and external marketing teams.

The ideal candidate will be a strong communicator, detail-oriented and capable of managing multiple priorities in a small team.

Qualifications

  • Experience in communications, administration, project coordination or a related role.
  • Strong written communication and editing skills, with excellent attention to detail.
  • Strong organizational skills and ability to manage multiple projects and deadlines.
  • Comfortable with digital communications, content management and collaborative tools.
  • Experience with financial administration or accounting software is an asset.
  • Experience with Xero, Airtable, Monday.com, WordPress/MemberPress or similar platforms is an asset.
  • Experience in music, arts and culture, a non-profit or membership-based organization is an asset.
  • Knowledge of British Columbia's music industry is an asset.
  • Ability to work independently while collaborating with a small team.

Responsibilities

  • Coordinate with external marketing and social media team on priorities, timelines, content, assets and approvals.
  • Maintain communications calendar and coordinate newsletters and program announcements.
  • Review and edit social media copy and assets relating to programs, events and initiatives.
  • Maintain and update website content and coordinate updates with external service providers.
  • Capture content at local events and plan content capture for out-of-province programs.
  • Support media relations, promotional activities and program outreach as required.
  • Provide general administrative and financial support including invoicing and expense documentation.
  • Assist with Xero, RBC PayEdge and documentation for Music BC's accountant, funders and auditors.
  • Gather and organize program statistics, outcomes, financial figures and highlights for reporting.
  • Coordinate with vendors, contractors and external service providers as required.
  • Provide administrative, communications and logistical support across programs and initiatives.

Communications & Administration Specialist

Employment: Part-time, fixed-term | 25 hours per week, with occasional additional hours as required

Compensation: $27–$29 per hour

Location: Vancouver, BC | Hybrid, minimum two days per week in office

Term: Fixed-term position ending September 30, 2027. The position may be renewed, subject to organizational needs and available funding.

Anticipated Start: Mid-September 2026

Position Overview

Music BC is seeking a highly organized and collaborative Communications & Administration Specialist to support the organization's communications, administration and day-to-day activities.

Reporting to the Programs & Operations Manager and working closely with the Executive Director, this role serves as the primary internal point of contact for Music BC's external marketing and social media team, coordinates organizational communications, supports financial administration, and provides administrative and logistical support across Music BC's programs and initiatives.

The ideal candidate is a strong communicator and detail-oriented organizer who can manage multiple priorities, take ownership of their responsibilities, and work collaboratively within a small team.

Key Responsibilities
Communications & Marketing
  • Coordinate with Music BC's external marketing and social media team on priorities, timelines, content, assets and approvals.
  • Maintain Music BC's communications calendar and coordinate newsletters, program announcements and other organizational communications.
  • Review and edit social media copy and creative assets relating to Music BC programs, events, opportunities and initiatives.
  • Maintain and update website content and coordinate updates with external service providers.
  • Capture content at select local events and work with the team to plan and coordinate content capture for out-of-province programs, missions and events.
  • Support media relations, promotional activities and program outreach as required.
Administration & Finance
  • Provide general administrative and operational support to the Programs & Operations Manager and Executive Director.
  • Maintain organized records, agreements, contracts and organizational documentation.
  • Support invoice and receipt processing, expense documentation, payment administration and financial record keeping.
  • Assist with Xero, RBC PayEdge and preparation of documentation for Music BC's accountant, funders and auditors.
  • Gather and organize program statistics, outcomes, financial figures and key highlights to support funder reporting, organizational reporting and advocacy initiatives.
  • Coordinate with vendors, contractors and external service providers as required.
Program & Organizational Support
  • Provide administrative, communications and logistical support across Music BC's programs and initiatives, including artist and professional development, export activities, travel grants, industry events and other organizational initiatives.
  • Coordinate with program participants, faculty, vendors, contractors and partners as required, including scheduling, contracting and tracking deliverables.
  • Support program promotion, outreach and participant recruitment in coordination with Music BC's external marketing team.
  • Assist with the planning and delivery of initiatives such as ARC Artist Accelerator, SoMa Fest, Jumpstart Consultations, Travel Grants and Music BC's export activities.
  • Attend and support select local Music BC and industry events as required.
  • Be available to work occasional additional hours, including evenings and weekends, to support events and organizational initiatives.

  • Comfortable working with digital communications, content management and collaborative workplace tools.
  • Experience with financial administration, bookkeeping support or accounting software is an asset.
  • Experience with tools such as Xero, Airtable, Monday.com, WordPress/MemberPress or similar accounting, project management, membership and communications platforms is considered an asset.
  • Experience working in music, arts and culture, a non-profit or membership-based organization is an asset.
  • Knowledge of British Columbia's music industry is an asset.
  • Ability to work independently while collaborating effectively with a small team, contractors and external partners.
