Job summary

The Research Institute of the McGill University Health Centre (RI-MUHC) in Montreal is seeking a Research Coordinator for the Endometriosis Research Program. You will lead ethics submissions, data collection and analysis, and coordinate with clinicians to improve patient-centered outcomes.

Ideal candidates will have a Bachelor's degree and at least one year of research coordination experience, strong writing skills, and fluency in French and English.

RESEARCH INSTITUTE OF THE MUHC

The Research Institute of the McGill University Health Centre (RI-MUHC) is a world-renowned biomedical and hospital research centre. Located in Montreal, Quebec, the Institute is the research arm of the McGill University Health Centre (MUHC) affiliated with the Faculty of Medicine at McGill University. The RI-MUHC is supported in part by the Fonds de recherche du Québec - Santé (FRQS).

Position Summary

Department / Research Program: Department of Obstetrics and Gynecology The Endometriosis Research Program at the Research Institute of the McGill University Health Centre conducts patient-oriented clinical and epidemiological research aimed at improving the diagnosis, treatment and lived experience of people with endometriosis. Reporting to Drs. Andrew Zakhari, Dong Bach Nguyen and Basile Tessier-Cloutier, the clinician-scientists who lead the program, the incumbent is responsible for the scientific and operational management of the program’s portfolio of studies, from ethics submission and study registration through recruitment, data collection and analysis support, to publication and knowledge translation. The incumbent is expected to work with a high degree of autonomy: setting priorities, anticipating deadlines and advancing projects independently rather than waiting for direction. The role combines regulatory and operational coordination with academic support (grant and manuscript preparation, communications, promotion dossiers) and genuine scientific participation in the design and interpretation of studies. This is a central position on a small, collaborative team, and the incumbent will contribute to program planning and scientific discussion, not solely to execution.

General Duties
Regulatory affairs and research quality
  • Prepare, submit and maintain research ethics board (REB) applications, including initial submissions, amendments, annual renewals and study closures, for all projects in the program,
  • Ensure that all studies are conducted in accordance with ICH-GCP, TCPS 2, applicable Québec privacy legislation and RI-MUHC standard operating procedures,
  • Register studies on public registries (ClinicalTrials.gov, PROSPERO, OSF) and keep registration records current,
  • Maintain investigator study files, delegation logs and training records, prepare the team for audits, monitoring visits and inspections,
  • Draft and maintain study protocols, standard operating procedures, consent forms, case report forms and data management plans.
Study conduct and participant management
  • Identify, screen and recruit eligible participants, obtain and document informed consent,
  • Schedule and coordinate study visits and serve as the primary point of contact for participants,
  • Distribute and track follow-up questionnaires, ensure their completion, and implement retention strategies to minimize loss to follow-up,
  • Coordinate biological sample collection, labelling, processing and shipping where applicable, and liaise with the biobank,
  • Process participant compensation and reimbursements, document adverse events and protocol deviations and report them as required.
GREAT Biobank operations
  • Coordinate participant enrolment and consent under the GREAT biobank protocol and ensure that consent scope (data linkage, future use, sharing with partners) is documented for every participant,
  • Coordinate intra-operative tissue, blood and peritoneal fluid collection with the operating room team and the Department of Pathology, ensure chain of custody, labelling, processing and storage of samples according to standard operating procedures,
  • Maintain the sample inventory, freezer and laboratory information management system (LIMS) records, quality-control logs and annual reporting to the REB and the biobank,
  • Link clinical, radiologic, surgical (lesion mapping) and pathology data to banked samples in the study database,
  • Manage sample and data access requests, including material transfer and data-sharing agreements with collaborators and industry partners.
Data management and analysis support
  • Design and build study databases (e.g. LabKey), including data dictionaries, validation rules and access controls,
  • Organize, clean, de-identify and format datasets, maintain version control and supporting documentation,
  • Produce descriptive summaries, tables and figures for reports and presentations, and support statistical analyses,
  • Extract and abstract data from medical records, run literature searches and article screening for systematic reviews.
Grants, publications and academic support
  • Draft, assemble and submit research proposals and grant applications, including budgets, letters of support and Common CV materials, track funding competitions and deadlines,
  • Prepare and submit manuscripts to journals and abstracts to conferences, manage submissions, revisions, editorial correspondence and reference formatting,
  • Prepare progress reports and end-of-grant reports for funding agencies,
  • Maintain up-to-date CVs for team members (Common CV, McGill format), publication trackers and citation metrics, and assemble academic promotion dossiers,
  • Coordinate conference logistics, including abstract deadlines, registration and travel arrangements.
Communications and knowledge translation
  • Design and produce promotional material for the program’s projects, including recruitment flyers, scientific posters, presentation slides and plain-language summaries,
  • Maintain the program’s web presence, including website content, research news and individual study pages,
  • Support patient-partner engagement and community outreach activities.
Team contribution and project management
  • Contribute scientifically to the team by participating in study design, brainstorming sessions, interpretation of results and program planning,
  • Coordinate, train and mentor students, summer students and volunteers assigned to program projects,
  • Organize team meetings, set agendas, track action items and manage timelines across the study portfolio,
  • Manage relationships with collaborators, external sites and industry partners, support contracts, data-sharing and material transfer agreements,
  • Handle procurement and purchase orders and track expenditures against grant budgets.
Standards of performance
  • Ethics submissions, renewals and public registry records are complete, accurate and never lapse,
  • Recruitment and follow-up targets are met within the timelines set out in study protocols and grant agreements,
  • Grant, manuscript and abstract deadlines are identified well in advance and drafts are circulated with enough lead time for principal investigator review,
  • Study data are complete, verifiable and analysis-ready, with documentation sufficient to withstand an external audit,
  • Projects advance on schedule without requiring day-to-day direction from the principal investigators.

Education / Experience

Education: Bachelor's Degree

Field of Study

Health sciences, epidemiology, public health, biomedical sciences, nursing or a related discipline

Other education considered an asset for this position

A DEC (college diploma) combined with equivalent relevant experience will be considered, a master’s degree is an asset, GCP and TCPS 2 CORE certification, SoCRA or ACRP certification

Work Experience

Minimum of one (1) year of experience in clinical or academic research coordination. Experience in women’s health, gynecology or chronic pain research is an asset.

Required Skills
  • This position requires an advanced knowledge of oral and written French.
  • An advanced knowledge of oral and written English is required, as the position requires regular and complex contact with patients, researchers or international students who are exclusively proficient in English. The position also requires complex writing or in-depth analysis of documents in English related to a research project.
  • Demonstrated ability to work autonomously with minimal supervision: setting priorities, managing competing deadlines and advancing projects without day-to-day direction,
  • Strong scientific writing and editing skills, prior contribution to grant applications or peer-reviewed manuscripts is strongly preferred,
  • Working knowledge of ICH-GCP, TCPS 2 and research ethics board processes,
  • Proficiency with LabKey, REDCap or a comparable electronic data capture system, Excel, a reference manager (EndNote/Zotero) and Office 365,
  • Experience with design and communications tools (Canva, Adobe Creative Suite, PowerPoint) and website content management (e.g. WordPress) is an asset,
  • Familiarity with basic biostatistics and data visualization, experience with R, SPSS or Stata is an asset,
  • Excellent organizational skills, rigorous attention to detail and the ability to manage several studies concurrently,
  • Discretion and sound judgment in handling sensitive health information,
  • Empathy and professionalism in interactions with participants living with chronic pain,
  • Interest in women’s health, chronic pain and patient-oriented research.
Additional information

Status: Temporary, full time (35-hour workweek)

Pay Scale: Commensurate with education and experience

Work Shift: Monday to Friday 9:00am to 5:00pm

Work Site: Glen Site, 1001 Decarie Blvd.
