Position Overview
The Client Care Manager supports the leasing and property management team by coordinating leasing activities, maintaining accurate records, and ensuring a smooth leasing process for prospective and current tenants. This role acts as a liaison between residents, community specialists, and property management to ensure timely communication and high-quality customer service and provides robust support to the team.
Primary Responsibilities
- Respond to inquiries from prospective residents via phone, email, or in person.
- Schedule property tours and assist with showing available units when needed.
- Process rental applications, verify background and credit information, and communicate approval or denial decisions.
- Prepare lease agreements, renewal documents, and other leasing-related paperwork.
- Maintain accurate and up-to-date records in leasing management systems.
- Assist with marketing vacant properties through listings, flyers, and online platforms.
- Coordinate move-ins and move-outs, ensuring necessary documentation and inspections are completed.
- Supervise and mentor Community Specialists and report directly to the Residential Leasing Manager.
- Provide exceptional customer service to residents addressing questions and concerns promptly.
- Compile daily, weekly, monthly, quarterly occupancy reports with accuracy.
- Collaborate with property/leasing managers and maintenance teams to resolve tenant issues or unit readiness concerns.
- Monitor lease expirations and assist with renewal efforts to reduce vacancy rates with the focus on resident retention.
- Process N9, lease takeovers and sublet paperwork.
- Effectively partner with our commercial tenants and manage a property perks program and facilitate cross promotions.
Requirements
- High school diploma or equivalent (bachelor’s degree preferred).
- Previous experience in leasing, property management, or administrative support is mandatory.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication.
- Strong sales and client support background.
- Proficiency in Microsoft Office and property management software (e.g., Yardi, AppFolio, RealPage).
- Ability to work independently and as part of a team.
Work Environment
- Office-based with some property visits as needed.
- May require occasional evening or weekend availability depending on property hours.
- Occasional special event/tenting coordination.
- Wiliness to change workstations as property needs change.
