Job summary

A municipal government in Ontario is seeking a Clerks Administrative Student to assist with office administration, election preparations, and records management. The ideal candidate is currently enrolled in a related post-secondary education program and has a working knowledge of Microsoft Office. This role offers a pay rate of $19.36 per hour for 35 hours each week for approximately 4 months, commencing in April 2026. Candidates must submit a criminal record check prior to starting employment.

Qualifications

  • Knowledge of Microsoft Office applications is essential.
  • Experience with election processes is advantageous.

  • Compile statistical information regarding municipal election data.

Job description
Position Description:
  • Assist in office administration, research and analysis as required for the Clerks and By-law Enforcement departments in the areas of: election procedures and training, records management and retention, by-laws, policies and best practices.
  • Provide election preparation support and update forms and databases.
  • Monitoring and updating election website materials.
  • Compile statistical information and analysis with respect to municipal election data.
  • Assist with updating records retention schedules, migration of records, scanning projects and organization of physical records.
  • Assist with mail services and assistance with internal courier distribution.
  • Other duties as assigned.
Qualifications
  • Currently enrolled in post‑secondary education in a related field (including but not limited to Political Science, Business Administration, Records Management) at a Community College or University.
  • Working knowledge of Microsoft Windows 10 and Microsoft Windows 7.
  • Working knowledge of Microsoft Office and Excel 2013, 2016.
  • Experience with PowerPoint would be an asset.
  • Experience working an election would be an asset.
  • Attention to detail and strong communications skills.
Note

Employment is conditional upon: attendance at all training sessions, submission of required documentation/certification, adherence to the minimum age requirements and ability to meet the employment term.

At time of application must be enrolled in a post-secondary education institution or institution of higher learning.

Applicants must submit a criminal record check (dated within the last 3 months) from their local police service for approval prior to commencing employment.
