Job description

Role: CIPS National Volunteer Program Coordinator Supported By: CIPS National

Location: Virtual

Role Type: Volunteer

Commitment: Approx. 3 hours per month (includes 1-hour monthly Volunteer Committee meeting)

Purpose of the Role

The CIPS National Volunteer Program Coordinator supports the structure and support materials that enable effective volunteer participation across CIPS. This role focuses on maintaining volunteer orientation resources, policies, procedures, and governance templates to ensure volunteers and committees operate with clarity and consistency.

Key Responsibilities
Volunteer Orientation & Program Support
  • Maintain and update volunteer onboarding and orientation materials.
  • Support volunteer Policies & Procedures to encourage consistent engagement across the CIPS.
Governance & Committee Support
  • Support updates to committee Terms of Reference (TORs) and role descriptions.
  • Maintain simple templates and toolkits for:
    • Meeting agendas
    • Meeting notes
    • Action tracking
  • Assist with preparing support materials for annual volunteer and committee reviews.
AI & Digital Tool Support
  • Support the use of AI-enabled tools and simple digital templates that assist committees with:
    • Agendas
    • Meeting summaries
    • Action items

(Role focuses on template maintenance and support — not system implementation.)

Committee Participation
  • Participate in a 1-hour monthly National Volunteer Committee meeting to review progress, share updates, and support planning across volunteer initiatives.
Skills & Qualities
  • Strong organizational skills with attention to detail.
  • Comfort working with documents, templates, and basic digital tools.
  • Interest in program development, governance support, or process improvement.
  • Willingness to learn simple AI-enabled workflow tools as needed.
