Job summary

Job Description

As the Catering and Events Coordinator, you are authorized to deliver memorable and successful events that meet our guests' expectations and contribute to the overall success and reputation of our organization. Your role is very important because you are responsible for building rapport and loyalty with clients and planning, organizing, and executing all catering events. Key Focuses
  • Maintains a friendly, attentive, and professional demeanor during all guest encounters and responds appropriately to guest complaints.
  • Understands that effective and cohesive communication between departments is vital to the hotel’s operation.
  • Acts as the primary contact for clients interested in booking catering events. Promptly responds to inquiries, provides information about services, and assists in customizing event packages based on client needs.
  • Works with clients to plan and design events, considering details such as menu selection, venue setup, décor, audiovisual requirements, and any additional services needed.
  • Coordinates with various vendors, including decorators, florists, entertainers, and audiovisual technicians, to ensure their services align with the event’s requirements.
  • Creates detailed event budgets, keeping track of expenses negotiating with vendors to secure competitive rates, and ensuring the event stays within the budget.
  • Drafts and finalizes event contracts outlining the terms and conditions of the event, including services provided, payment terms, and cancellation policies.
  • Organizes and manages event logistics, including setup and teardown schedules, transportation arrangements, and any necessary permits or licenses.
  • Oversees the smooth execution of catering events, ensuring all elements come together seamlessly. Be present on-site during events to handle any last-minute details or changes.
  • Protects self, co-workers, and guests against safety hazards; reports immediately to the manager on duty.
Experience/Passions/Education
  • Post-Secondary Diploma/Degree in a Hospitality/Tourism field preferred.
  • 3 years of experience in hotel catering/sales.
Working Conditions

This position may work dayshift, afternoon, or evening shift any day of the week or weekend with long days to meet periodic upturns in business demands or meet deadlines. This position is set in a fast-paced and, at times, high-pressure environment that requires continuous physical movement, the ability to lift up to 30 lbs., and the ability to manage multiple sequences and demands. There may be periods of independent work and changes in temperature from the back to the front of the house.
