Established in 1976 the Saskatchewan Indian Institute of Technologies (SIIT) is a First Nation governed post-secondary institution. Recognized under provincial legislation, the Institute has been conferred authority to grant certificates and diplomas. Nature and Scope

The Campus Coordinator will be responsible for the general coordination, supervision, organization, administration of the applicable SIIT Campus. This position will positively promote and create an environment that demonstrates SIIT's vision, mission, and mandate.

General Accountability

The Campus Coordinator is responsible for the general coordination of activities related to facility use and for creating a safe and welcoming physical environment for learners and employees. This position supports a wide variety of Campus administrative operations in a prompt and professional manner. The incumbent is responsible for organizing and coordinating campus operations and procedures in order to ensure organizational effectiveness and efficiency. The Coordinator is responsible for delivering capacity building activities, coordinating project programs, events, and educational sessions and workshops.

The Coordinator will collaborate with various internal departments and external providers to ensure the safety, security, and comfort of all learners and employees, in coordination with SIIT's Director, Facilities. This position will also perform administrative duties of the Campus, and follow up with appropriate employees as required. The Coordinator is accountable to lead, train, and coach direct reports, in addition to guiding their daily work. This position provides additional support as required and includes the following broad range of accountabilities:

Specific Accountabilities
Administration
  • Extensive knowledge of the functions, purposes and programs of SIIT to answer and direct routine inquiries and promptly respond to inquiries as required
  • Oversee inventory of assets, including supplies and/or materials, within the campus, this includes controlling petty cash
  • Perform administrative duties of the Campus; including overseeing cleaning and commissionaire contracts
  • Provide administrative support for past, current and future learners
  • Be a liaison for employees and learners; effectively coordinate meetings with outside agencies and speakers.
  • Relieve front desk employees as necessary and provide support for front desk administration
  • Act as an advisor to support the Student Leadership Council (SLC)
  • Plan and schedule Student Services initiatives to help promote a positive learning environment
  • Communicate and implement all staff employee and learners policies and procedures
  • Assist in the supervision of learners and guests within the Campus
  • Manage applicable budgets in accordance with and as provided by SIIT
  • Effectively report on collected data as required
  • Plan, develop, and participate in special projects as required
Campus Coordination
  • Ensure building is safe and maintained, including performing security rounds inside the building
  • Perform general building maintenance as required and notify facilities department of areas that require further action or attention
  • Be knowledgeable of the fire alarm system/procedures and contacts
  • In collaboration with the facilities department, coordinate with contracted agencies in the provision of the building
  • Enforce smoking bylaws and ensure that learners/staff utilize designated smoking area only
  • Take necessary action by requesting police assistance when mischievous/criminal actions are committed and prepare necessary documentation
  • Ensure campus assets are secure
  • Assign keys, security codes and passwords as appropriate for SIIT staff; obtain keys from staff that complete their work terms, as well as, change security codes and passwords as appropriate
  • Contribute to SIIT's strategic effectiveness by representing and participating on internal and external committees as required
  • Ensure follow up items from OH&S Committee meetings are actioned
  • Develop positive working relationships with First Nations community Post-Secondary Counsellors, funders and other stakeholders
  • Foster a positive working relationship among academic and administrative units across the campus to ensure students' needs are being met
  • Develop partnerships with external support and service agencies
  • Establish and maintain a network of resources and references to effectively support learners
People Management & Leadership
  • Coach, train and develop employees to ensure growth and development of those individuals
  • Conduct regular reviews with direct reports; ensure adherence to SIIT policies and procedures
  • Monitor and schedule vacations, overtime and other absences for the team and redistribute work as necessary to ensure customer service levels are maintained
  • Manage, coach and lead direct reports, providing direction when higher level issues arise
  • Ensure a positive, diverse and inclusive work and learning environment
  • Assist in building and leading the team through employee selection
Required Qualifications and Experience

Successful completion of a business related degree, combined with a minimum of three to five years of management/administrative experience. Previous experience as an office or site coordinator/ administrative manager or similar position is an asset. An equivalent of education and experience may be considered. Knowledge of First Nations culture and organizations would be an asset. Candidate must have a valid driver's license and reliable transportation as travel may be required.

As this position is considered safety sensitive, the incumbent will be subject to testing as per SIIT's Alcohol and Substances policy.
